Entering Data

Entering data in Propertyware is much like entering data in any web page. As you enter and edit data, remember to click Save to preserve your changes. Required fields on web pages are shown with a red asterisk (*); all other fields are optional and may be left blank.

You may choose to begin by entering data in any of the features found behind each of Propertyware's tabs, or by inputting your data during the Setup Assistant. Propertyware is the industry’s most flexible solution, allowing you to create, edit, and track data in many ways. Experiment with how the site will work best for you and your organization.

Entering Dates

Many fields in leases, contacts, activities, and other items allow you to enter a date. You can click the calendar icon and choose a date from the pop-up calendar, or you can manually enter a date. All dates display with four digits for the year, although you can input two or four digits according to these guidelines:

Enter two digits from 00 to 59 for years 2000 - 2059. For example, 10/30/40 is saved as Oct. 30, 2040.

Enter two digits from 60 to 99 for years 1960 - 1999. For example, 10/30/60 is saved as Oct. 30, 1960

By clicking on a calendar day, the information will automatically be generated in the date field and the Calendar Tool will close. If the date you are looking for does not appear on the calendar, you can use the forward and backward arrows located at the top of the tool. To change the calendar forward or backward one month at a time select the ">" symbol. To change the calendar forward or backward by one year at a time, select the ">>" symbol.

Entering Currency

In currency fields such as Auto Charges on Leases, when you enter a monetary amount (or any other type of number) it will automatically add the currency mark., when you enter 1000, it is saved as $1,000.00.

Entering Phone Numbers

When you enter phone numbers in various phone fields, Propertyware preserves whatever phone number format you enter. Ten digit phone numbers and eleven digit numbers that start with '1' are automatically formatted as (800) 555-1212 when you save the record. If you do not want this formatting for a ten or eleven digit number, enter a '+' before the number, for example, +49 8178 94 07-0.

Selecting Picklist Values

In Propertyware, you may encounter two different kinds of picklists:

  • Standard picklists -- Click the down arrow to select a single value.
  • Multi-select picklists -- Double click on any available value in one scrolling box to add that value to the selected scrolling box on the right. You can choose a single value or multiple values. To select values within a range, select the first value and click the last value in the range while holding down the Shift key; then, click the arrow to add selections to the selected box.
