Pay Bills Option to Create Separate Check for Each Bill – Money Out

By default, when bills are paid through Bill Pay and there are several bills payable to a single vendor, Propertyware lumps all bills together to create a single check payable to the vendor. However, customers sometimes need to create separate checks to their vendors.

In response to this need, Propertyware now provides a checkbox option on the Bill Pay screen where the customer can select Create a Separate Check/Payment for Each Bill.

When new option is not selected (default), all bills payable to the same vendor will show up as spilt items on a single vendor check. When new option is selected, a separate check payable to the applicable vendor will be created for each bill that is selected for payment.

Filter and Export Options on Report Preview Page – Reports

Two new options have been added to the Report Preview page in Propertyware:

1) Filter and Options: For some companies, reports take a long time to run. To better serve these companies’ needs, Propertyware now allows customers to set filters with a Filter and Options feature on the Report Preview page, BEFORE running a report. This way, companies can avoid having to run the report twice when filtering (once to load the report, and once again after applying the filters). After the customer edits the filters, clicking Apply and Save will display the new filters on the preview page. This way, the customer can verify that the correct filters are being used prior to running the report.

2) Export: Some companies prefer to export their reports as Excel files for further offline manipulation. This could be an arduous process, as they had to first run the report (which sometimes took minutes to load, and would sometimes crash the browser) before they could export it. To better serve companies that wish to export their reports, Propertyware now allows customers to export a report as an .XLS file from the Report Preview page, without first running the report in the web browser.

Suppression Option for Property and Lease Navigator Panes – Setup, Properties, Leases

Some Propertyware customers with large amounts of property and lease data were experiencing page performance issues in the Properties and Leases tabs. This was because the Property and Lease Navigator panes had to load a large volume of information with each page load.

These customers were also experiencing challenges with Navigator usability, as once their data did load they would have to scroll through a large number of fields within a relatively small window.

In response to these issues, Propertyware has added an option to suppress the Property and Lease Navigator panes. This can be done via the Setup > Administration Setup > Company Info edit screen. These new options, Display Property Navigator and Display Lease Navigator, both default to Yes

Note: If the Property Navigator is turned off, it will not show on any page in the Properties tab. This includes Portfolio, Building, and Unit summary pages.

Add Guarantor Contact to Lease – Leases, Marketing

Guarantor Contacts are not being properly attached to their respective leases during either the Convert or Move into an Existing Lease prospect conversion actions.

In response to this issue, Propertyware has made the following modifications:

1) Upon prospect conversion, the Guarantor Contact record is now added to the Tenant Contacts area of a Lease.

2) Guarantor Contact is now a reportable field for Leases in Reports.

Security Deposit Refund Changes for DRE Compliance – Leases
Due to customers’ varying business needs and state audit compliance requirements, Propertyware has enhanced the options surrounding security deposit refunds and the associated transfer of funds between accounts.  The following changes have been made to the Move Out screen:

  1. Vacated Date has been moved to the upper section of the screen for easier access.

  2. The checkbox option “First Transfer All SECDEP Funds to Operating Account” has been removed, replaced by a new section with additional options.

  7. A red tooltip question mark has been added beside the Prepayments field (which appears only if there is a prepayment on the tenant ledger at the time of move-out). When the question mark is moused over, the following text appears: "Prepayments are refunded separately and will always be paid from the Default Bank Account.

FUNDS TRANSFER SECTION
A new Funds Transfer section has been added. This is to be used if security deposit funds are not being held in the account from which the refund is to be paid. It provides various options to transfer funds out of the security deposit account(s) to the account chosen for refund.

  1. Explanatory text appears at the top of this section: Tip: If security deposit funds are held in an account other than your primary operating account, use the section below to create the necessary transfer of funds surrounding any refund or partial refund of the security deposit.
  2. A drop-down menu, Transfer out of Default Security Deposit Account, has been added to the new Funds Transfer section.
    Menu options are:
    •  
      • Do Not Transfer – This makes no adjusting entries and is the default option. 
      • Transfer All Funds – This transfers the full amount of escrowed security deposits out of the default security deposit account to the account designated in the Pay Refunds from Account field. 
      • Transfer Only Funds Applied to Charges – This sums all charges that are allocated to be paid by security deposit funds and transfers that amount out of the default security deposit account to the default bank account.  It is typically used when security deposits are held in and refunded from a specific security bank account but charges have been applied.  This addresses the need to maintain an accurate security deposit funds balance when some of those funds are being used to pay outstanding charges and moves those funds to an account where the income from the charges can be available to the owner.
      • Transfer Set Amount – This allows total user control of the amount to transfer. It is typically used when security deposits are held in more than one account. This will provide a transfer to/from the accounts designated in the amount supplied to take care of one of the security deposit transfers. A second transfer must be done manually through a standard journal entry on the tenant ledger.
      • Two new required fields become visible only when Transfer Set Option is selected:
    •  
      •  
        • A required Transfer Amount field allows for the entry of the amount to be transferred.
      •  
        • A required Transfer from Account field has a picklist option of all bank accounts set up in the Chart of Accounts.
      • A red tooltip question mark appears next to the Transfer out of Default Security Deposit Account menu to provide easy access to information regarding the options.
  3. The Transfer Funds Method, a required field for all but the “Do Not Transfer” option, provides options for the type of transaction that will be generated for the transfer of funds.  Options are:
    •  
      • Journal Entry – This is the default selection and will create a standard journal entry.
      • Check – This will create a physical check on the bank ledger to satisfy some state real estate commission regulations.  It will be drawn on the default security deposit account.  If Check is selected, additional fields will display:
      •  
        • Transfer Payee Name (required). This will be the payee name on the check and will default to be the Company Name that is stored in Setup but is editable.  An address will only be included for the default payee.
        • Transfer Check To Be Printed – Check the box, if the check will need to be printed.
        • Transfer Check Ref # will populate automatically when the check is printed but can be filled with ACH, etc. if the bank transfer is to be electronic.
        • Deposit To – When a check is generated for transfer, it will require the selection of the account that will be receiving the funds so a deposit ticket can be prepared and the transfer can be completed.
  4. The Comments field defaults to "Security Deposit transfer for [refund payee name or lease name if no payee name is given]." 



Journal Entry Option for Retained Earnings – Management, Reports
Propertyware customers are now able to create a Journal Entry for the account they designate as Retained Earnings. This allows companies that have existed for many years but may have not stored each year’s information in Propertyware to set an accurate starting Retained Earnings figure via the Journal Entry.

This feature will be particularly useful for new Propertyware users who are implementing and transferring their data to Propertyware. It also will be useful for those customers who have requested increased functionality for historical financials.

  1. The account has been changed so it will allow for true GL account activity, in addition to being a virtual account. It presents a virtual "current year earnings" account, then looks for GL transactions to that account and adjusts the displayed balance by the amount of those transactions. This has been implemented on the following accounts:
    • Balance Sheet Standard
    • Balance Sheet Detailed 
    • Trial Balance  
  2. A Retained Earnings account has been added to the Equity section of the Account Selection drop-down list in the following locations:
    • Management > Owner Ledger > New Journal Entry 
    • Banking > Bank Ledger > New Journal Entry 
    • Leases > Lease Ledger > New Journal Entry 
  3. The General Ledger report now displays all detailed transactional account activity to the Retained Earnings account.

Property Views Filter Added to Selected Reports – Reports
When a property management company sets up a specific group of properties in a Property View, it needs to be able to create reports for that group of properties.

In response to this need, the following reports are now filterable by Property Views:

  • General Ledger
  • Owner Statement Simple
  • Managers Commission Report
  • Owner Statement Property Summary
  • Owner’s Property Statement

This new capability allows customers to create reports and printable/exportable lists pertaining to those customized property groups. The update allows Report Filters to be run based on Views saved at the Properties level, eliminating the need to manually group Portfolio/Building filters that have already been grouped in Property Views.

  • Property View has been added as a property filter option, after Portfolios/Buildings/Units.
  • The Search for Property View includes all standard and custom Views that are used in the Properties screen.
  • Functionality for the Filters screen matches the existing filtering selection and display.
  • When rendering a report that filtered by Property View, only the Portfolios, Buildings and Units that exist in the stored view are displayed. For example, if the view is a Portfolio view type and the report is the Units report, only units that are associated with the Portfolios that are a part of the selected view are displayed.
  • Property Views will display if one or more of the following filters are used in the report: Portfolio Filter, Building Filter, or Unit Filter.
  • Only those Views that pertain to filters setup will display. For instance, if a report has a Portfolio Filter and a Building Filter, then the Property Views filter will only show portfolio and building views.

Note: Multiple Property Views cannot be selected. If a customer wishes to view a report for more than one Property View, they will have to create a new property view with filters that include all entities in the individual views. 

Note: Property View filter options are specific to report type.  For example, if the View is created on a Unit basis, that View will not show up in the list of options for an Owner Statement, because Owner Statements are Portfolio-based. On the other hand, if the View is Portfolio-based, it will show in the list.

Flat Fees for Commission Items List in Managers Commission Report – Reports
Previously, when a Building included a Flat management fee, it calculated the fee, but did not report it on the Manager's Commission Report. This was because there was no property manager or commission rate available to be set for flat fees.

The Manager’s Commission Extended report did provide complete information regarding all of the management fees collected, no matter whether it is flat or percentage based and no matter whether or not there are property manager commissions. However, for some companies, problems could occur when they happened to pay their property managers a commission AND charged a flat fee.

In response to this, Propertyware has implemented the following changes:

  1. On Building form, when "Charge Management Fee" is active, a new top row has been added to the commission grid.

  1a. Percentage column always displays "n/a"

  1b. Commission Account column always displays "Commission on Flat Fees"

  1c. Manager's Commission column displays the rate set for this row via the Edit Action menu function. Default is 0.00%.

  1d. Manager column displays the Manager set for this row via the Edit Action menu function. Default is "None."

  1e. Pass Through column always displays "n/a. 


2.  When a commission is set as Flat Fee, the Managers Commission Report now includes calculations that pertain to commission due on flat fees.

  2a. When a flat fee commission is set and collected, a new Flat Fee row displays for the designated Property Manager. This row appears before RENT or other commission charges.

  2b. Account Description column always displays "Flat Fee"

  2c. Account Code column always displays "n/a"

  2d. Amount Collected header has been changed to "Amount Collected/Flat Fee Due" and displays the flat fee amount set on the building.

  2e. Commission column always displays "100.00%"

  2f. Calculated Commission = Amount Collected x Commission. At 100%, it should equal the Flat Fee that is set on the building.

  2g. PM Commission % displays the rate that has been set on the Building.

  2h. PM Commission Amount = Calculated Commission x PM Commission %

External Site Posting Redirect for Leased Properties – Marketing
When customers’ property listings were posted or linked on sites other than their main Propertyware-hosted site, such as Facebook, availability information was not updating. Even after the listing had been taken down from the customer’s Propertyware-hosted Site, when propsects clicked on it from another site’s link, they would sometimes be directed to an “active” version of the listing on the customer’s site.

Now, if a listing is no longer published on the customer’s Propertyware website or widget, and a prospect clicks through an external link to the old listing, they will be directed to a page that shows the listing as “No longer available.”

5/4/2012 – Feature Release

General Ledger Report Printed Format Improvement – Reports
The printed PDF version of this report has been enhanced to provide a more professional look. In addition, column headings for secondary pages have been added, and new options for the report footer have been provided.

  1. Bottom margin has been reduced to 1/2". 
  2. Header is now single-spaced. Other header changes: 
     2a. "General Ledger" report name in Arial 12pt bold fold. 
     2b. Duplicated smaller font copy of the report name has been removed. 
     2c. The Portfolio/Building is now displayed on the 2nd line of header in Arial 11pt font when an individual filter is used.

When the Consolidated version of this report is selected, individual portfolios or buildings that are being consolidated are displayed in 10pt font, double-spaced after the header and before the column headers, within a light blue shaded box.

 2d. Date info is now on row three in Arial 11pt font. 
3. In Statement options in the left panel, add a "Footer" section and include the following checkbox options: 

    • Date Generated - Defaults to true. Displays at left margin as "Generated mm/dd/yyyy".
    • Time Generated – Defaults to True. Only available if Generated Date is selected. Example: Generated 04/08/2011, 03:05pm.
    • Generated By - Defaults to False. When True, displays as "by [User Name]" immediately following the date/time, on the same row. If the Date is not selected, it will display simply as "Generated by [User name]
    • Page Number – Displays at the right margin as "Page x of x".

4. When the report has multiple pages, the header (including column headings) is included on subsequent pages.  

 

Income Statement Standard Printed Format Improvement – Reports

The printed PDF version of this report has been enhanced to provide a more professional look. Also, column headings have been added to secondary pages.

  1. When only one of the Selected Period, Fiscal Year to Date or Prior Year to Date column options is selected, the left and right margins are increased by 1/2" to shift data toward the center. Existing margins are maintained when all columns are in use. 
  2. When data creates the need for multiple pages, the header (including column headings) is included on subsequent pages. Additionally, for multiple-page reports:
  • The Income title has been moved under the header. 
  • Total summary row is not included on header for subsequent pages. 
  • When the report is Consolidated, the list of portfolios in the header is included for all pages. 

3. When headers are on each page, they are removed from the individual sections. Each section title still has a bolded line across the page above the title name and unbolded line across the page, under the title.

Additional Options for Report Date Picker – Reports

In all Reports, for the reports date pickers in Filters, two new date range options have been added:

1. Last 6 Months (Use end date of current date and start date that is the same day, six months earlier. i.e.- 9/27/11 - 3/27/12)

2. Next 6 Months (Use start date of current date and end date that is the same day, six months later. i.e. - 3/27/12 - 9/27/12)

Propertyware has created a Work Orders Importer that operates from an excel spreadsheet. 

Imported Work Orders will either be newly created with the given data, or, when a Work Order # is provided, updated to reflect the imported data.

Secondary Sort by Reference Number in Bank Ledger – Banking

Propertyware’s Bank Ledger now uses a secondary sort by reference number. Previously, the Bank Ledger was sorted by date only. 
 

For transactions that occur within the same date:

  1. Deposits and other increases are listed first, in order by Reference Number, lowest to highest.
  2. Checks and other decreases are listed next, in order by Reference Number, lowest to highest.
     

For reference numbers within the same date:

  1. Blank Reference Numbers appear first
  2. Numbers are listed before alphabetical characters
Zeroes are not included, except in conjunction with alpha characters

For transactions that occur within the same date:

  1. Deposits and other increases are listed first, in order by Reference Number, lowest to highest.
  2. Checks and other decreases are listed next, in order by Reference Number, lowest to highest.

Craigslist Policy Changes – Marketing

On February 14, 2012, Craigslist changed its Terms of Use. As a result, Propertyware customers can no longer automatically post flyers to Craigslist. In the new posting process, the customer must cut and paste a flyer’s HTML from Propertyware into the Craigslist site’s create posting page.

4/13/2012 – Feature Release

Print Check Button for Check and Bill Payment Views – Banking, Money Out, Leases, Properties
The ability for users to print a check when viewing its detail has been added to several areas of Propertyware via a Print Check button on the following screens:

  • From the Bank Ledger, when clicking View for a Check transaction.
  • From the Bank Ledger, when clicking View for a Bill Payment transaction.
  • From the Vendor Ledger, when clicking View for a Check transaction.
  • From the Vendor Ledger, when clicking View for a Bill Payment transaction.
  • From the Tenant Ledger, when clicking View for a Check transaction on the Refund Detail screen.
  • From the Owner Ledger, when clicking View for a Check transaction on the Owner Check screen.

The new Print Check button is located just to the left of the Done button on all of the above screens.

Please note:

  • If the Print Check button is pressed when viewing a check has already been printed, a message will appear that asks whether the existing check number should be used or a new number should be created.
  • When a voided check is viewed, the Print check button will not display.


4/6/2012 – Feature Release

New Options in Owner Statement Month & YTD by Building Report – Reports

  1. A new panel of column options, Additional Options: Footer, has been added to the Owner Statement Month & YTD by Building report. This new panel offers the following options for footer data on the printable PDF:
  • Generated By: Displays the name of the user who generated the report.
  • Generated Date: Displays the date on which the report was generated.
  • Generated Time: Displays the time of day at which the report was generated.
  • Page Number: Displays the page number of the report.

All of the above options default to unchecked.

2. In the Statement Options section, the following options have been added:

  • Hide Assets/Liability/Equity - When this option is selected, all Assets, Liability, and Equity sections and their contents are hidden.
  • Hide Due To/From Owner Summary - When this option is selected, the Sub-Total through Due To(From) Owner data is hidden.
  • Hide Other Income/Expense - When this option is selected, the Other Income and Other Expense sections their contents, as well as the Net Operating Income total row, are hidden.

All of the above options default to unchecked.

3. A Net Operating Income summary row has been added to the report’s Portfolio section, after Total Expenses. It is calculated as the Total Income minus Total Expenses.

4. An Other Income section has been added to the report’s Portfolio section, after the Net Operating Income summary row.

5. An Other Expense section has been added to the report’s Portfolio section, after the Other Income section.

6. A Total Net Income summary row has been added to the report’s Portfolio section, after the Other Expense section. It is calculated as the Net Operating Income plus Total Other Income minus Total Other Expense. This information was previously only available in the Building section of the report.

7. The following text appears when the customer updates to the new version:
"This update to the Owner Statement Month & YTD by Building report includes the addition of footer information and column headers on subsequent pages. It also adds Net Income calculations to the Portfolio summary. Additional column options allow you to hide sections of the report after the Total Net Income, if you are looking for more of a standard Income Statement as opposed to cash flow reporting."
 

Revised Text on Management Summary Page – Management
Previously, the Management Summary displayed the "Balance as of xx/xx/xxxx" at the top of the page. It now displays the “Portfolio Balance as of xx/xx/xxxx.” 


This title has also been changed on the Management Detail Report that displays when the View Details button is clicked from the Management Summary.

Help Tooltip for Management Summary Page – Management
Some Propertyware customers have had questions about the Unpaid Bills amount that displays in the Management Summary page view, thinking it should always match the total of the bills that display when they drill through. However, the amount does not always match, due to mark-ups and credits that may or may not yet have been applied. 


For greater clarity, a question mark tooltip with explanatory text has been added next to the Unpaid Bills header. The text reads: "Total represents unpaid Bills, including markup, and unapplied Vendor Credits."

Unmasked ePayments Bank Account Information – ePayments

In some cases, it is helpful for customers to be able to view unmasked ePayments account numbers. Therefore, the following modifications have been made in Propertyware:
  • The routing number now always displays unmasked in the ePayment/Bank Info tab on the Contacts tab and in Portals.
  • A new setting has been added to User Profile settings under Banking: View ePay Bank Account Unmasked. Users with this profile enabled will now be able to see the full, unmasked bank account number when viewing ePay account info.



3/30/2012 – Feature Release

Auto-Convert Draft Leases to Active on Move-In Date – Leases, Setup

An option has been added to automatically change the status of Draft Leases to Active on the pre-selected Move In date. This happens via a nightly process that completes the conversion by early morning on the Move In date.

Leases are only converted if all of the following conditions are met: the Status is Draft, the Move In date is the current day, the Attached Unit is Vacant, AND if no other draft lease is attached to the same Unit with the same Move In date.

User interface changes are as follows:

  • On the Lease Statuses form beside the Draft lease option, there is now a new checkbox option, Auto-Convert to Active Status. This option defaults as unchecked.
  • A red question mark at the end of the new option, when moused over, displays the text: “Selecting this option will change all Leases with a Draft Status to Active on the Move In date, if the Lease is attached to a vacant Unit.”


When the Leases are converted, an Alert that links to the converted Leases will be sent to the property manager of the corresponding building. If applicable, this Alert will also include links to any Leases that could not be converted to active due to one or more of the above conditions not being met, and will report the reason or reasons why.


These automatic conversions are also reported on the Audit Log.

Maintenance Hourly Billing from Work Orders – Maintenance, Money Out, Reports, Properties, Setup
Due to the high volume of work orders our customers receive (some up to 10,000/year), there was a need to automate the calculation of labor charges associated with time card entries. Also, some Buildings required surcharges to be tacked on to their usual vendor rates (for example, a building is 5 stories tall, so the window washer is paid more than the standard rate when working on that building).

In response to these issues, the following features have been added to Propertyware:

  • Propertyware’s Time Tracking feature in Work Orders now provides an opportunity to store labor rates and calculate labor charges from those rates. Bills, including labor charges, can now be created from Timecard Entries made under the Time Tracking tab in Work Orders. This feature will be especially useful for property management companies that have their own maintenance staff or company.
  • An hourly rate has been set on the Vendor record in Money Out. This rate, along with the hours on the time card entry, is used to calculate a split line amount on a bill attached to the work order.
  • A field that identifies any building surcharge has been added at the Building level. This allows an hourly rate, a flat dollar amount, or a percentage increase.

The following related features have also been added:

  • Money Out > Vendor > Vendor Summary. To calculate labor, Vendors must have both Time Tracking enabled and an Hourly Rate entered on the Vendor record.

  • Buildings > Maintenance Settings section:  Edit mode provides a drop-down list of surcharge methods.  A surcharge is defined as any amount added to the standard rate.

  • Work Order > Add Time Card Entry:  The Vendor list only includes those Vendors that have Time Tracking enabled on the Vendor screen.  Total Labor is calculated based on the number of hours entered.  The screen will default to the Vendor’s set hourly rate.

  • Work Order > Time Tracking tab:  A record of timecard entries for the work order is displayed on the Time Tracking tab, including labor charges. The Billed column notes whether a bill has been created for this labor charge.  The Create Bill button opens a New Bill screen, with the Vendor and Total Labor amounts pre-filled.

New Options in Income Statement Standard – Reports

In compliance with Fannie Mae regulations, Propertyware’s Income Statement Standard report has been updated to add new column options: 

  • A new Per Unit Avg Column Option has been added. The contents of this column are calculated by dividing the individual row (including Total rows), by the Active Unit Count (see the new Display Totals feature, below). The resulting number displays as currency, rounded to two decimal places. For example, if Repairs Expense = $35,085 and Active Unit Count = 451, the % Per Unit Avg column on the Repairs Expense row displays as $77.79.
  • A % of Total Income Column Option has been added.The contents of this column are calculated by dividing each individual Operating Income and Operating Expense item total by the Total Income. The resulting number displays in percentage format, rounded to 1 decimal place. For example, if Repairs Expense = $35,085 and Total Income = $224,051.57, the % of Total Income column on the Repairs Expense row displays as 15.7%

In addition, a Display Totals row option has been added to the report. This will enable customers to view user-defined totals at a glance. When the Display Totals Row is checked in the Columns sidebar under Other, totals including new options of Net Operating Income, Total Other Income, and Total Other Expense will display prominently at the top of the report.

You can choose which totals to display by clicking on the Totals icon at the top of the report page, but should keep in mind that horizontal space is limited on PDF/print-ready versions of the report. With this in mind, when the report is to be printed, try to select only the most important Totals to display at the top.

Tenant Portal Edits of Service Requests Now Recorded in Audit Log and on Work Order Changed Alert – Alerts, Tenant Portals
Improvements have been made to how Service Request edits made by tenants on the Tenant Portal are captured in the Audit Log.

  • On the Audit Log, the Action Performed has been changed from "Tenant John Doe submitted service request #1234." to "Tenant John Doe edited service request #1234."
  • Also on the Audit Log, the Details column now contains information about the data that has changed. Each edited field is now shown, with the applicable data marked OLD and NEW.
  • This information has also been added to the Work Order Changed Alert. Previously, only the new (changed) field content was shown. Now, for any field where data has changed, OLD and NEW designations are shown on that field row, along with the corresponding text.

Expanded HTML Code Allowance in Online Tenant Application Header – Marketing

The HTML code allowance in the header section of the Online Tenant Application has been expanded to accommodate more formatting.

Previously, a table such as the one below could not have been accommodated; only 4,000 HTML characters were allowed, which significantly limited formatting capabilities.  This capacity has now been increased to 60,000 HTML characters.

Customizable Section Headings on Tenant Applications – Sites

Propertyware’s Tenant Application provides many sections for gathering applicant data, each of which previously had a fixed title heading. These section headings are now customizable. 

Specific changes  include:

  • Instead of fixed title headings, a text box for data entry now displays for each. The headings the customer designates also become the section headings for the Online Tenant Application.
  • Under the Tenant Application Settings title at the top of the form, the following text has been added: "Customize each application section heading, as needed, and expand the section for further customization options."
  • The Co-Applicants, Other Household Members and Guarantors section title has been changed to Other Applicants and Adult Household Members. The first section of the previous text remains the same, except the “Co-applicants and other adult household members" text may be replaced with customized text. The second paragraph now begins with "If yes, they will have..."
  • A new section, Lease Guarantor Applicants, has been added. In the second paragraph section, “Guarantors" may be replaced with customized text. The second sentence now begins with, "If yes, they will have..."
  • A text section for user input has been added. Beginning text reads, "Display additional text message for this section on the online application" and provides a YES/NO drop-down menu. When YES is selected, a text field as seen in the Header section will open. Default is NO, and default text is blank. A question mark tooltip, when moused over, shows the following text: "Additional information can be included to outline specific requirements.”
  • On Lease Mail Merge Templates, after Unit Custom Fields, a Guarantor Details section has been added. This section includes:
    • Guarantor First Name 
    • Guarantor Last Name 
    • Guarantor Suffix 
    • Guarantor Address 
    • Guarantor Address cont. 
    • Guarantor City 
    • Guarantor State/Province 
    • Guarantor Zip/Postal Code

Note: In all of the above cases, the “Guarantor” label may be replaced with whatever customized header the user has created. However, this role will still be treated as a Guarantor.

New Tenant Notification Alert: Service Request Denied – Alerts, Maintenance, Portals – Owner, Setup

A Tenant Notification alert, Service Request Denied, has been added to Propertyware. The new alert is sent to tenants when a Work Order is rejected, either online by the owner or by the property management company when a work order is saved with Approval as No. This applies to both Service Requests created by tenants on the Tenant Portal and Work Orders entered manually by the property management company.

This new, real-time alert exists in addition to the existing Work Order Rejected alert. Default status for this alert is OFF.

Accrual Option Added to Trial Balance Report – Reports

Propertyware has added an Accrual column option to its Trial Balance Financial Statement report. This gives customers the ability to view data within the report on an accrual accounting basis instead of cash.

  • When the Accrual column is selected, tenant charges will display as if the billed payments have already been made. For example, if an $850 charge is created for Rent Account 4000, the income statement will include that amount in the Income Total for Rent Account #4000 as of the charge date, regardless of whether it has been paid. This principle will apply to all tenant charges, including auto-generated late fees.

  • By the same principle, unpaid bills will display as expenses. For example, if a bill for repairs is created for Expense Account 5510, the Income Statement will include that amount in the Expenses total for Expense Account #5510 as of the bill date, regardless of whether or not it has been paid.

Posting auto charges in advance of their charge dates does not affect this functionality.

Note: To be included in the report, a charge or bill must fall within the date range that is set when the report is generated.
 

Requirement for SSN or DL Entry Removed – ePayments, Portals, Contacts

Requirements for the input of a Driver’s License (DL) or Social Security Number (SSN) are being removed from Propertyware. This includes any validation that may have required the entry of a DL and/or a SSN from the Tenant Portal, Owner Portal, Contact detail, etc.

Also, any field for SSN or DL input that was previously marked with a red asterisk to indicate a required entry will no longer be marked with such an indicator.

Online Training Videos Migrated to New Platform – Training

Propertyware’s library of online training videos and webinars has been upgraded to a new platform. This platform, Wistia, includes mobile capabilities for viewing videos anywhere.

Customers may need to clear their web browser’s cache and cookies in order to view videos hosted at the new site. Also, please be advised that minimum viewing dimensions for the new platform on a PC web browser (Flash) are 1024 x 758; viewers using smaller windows may experience limitations with picture visibility and/or quality.

Print Button and History on Management Fee Calculator – Management

The Management Calculator screen for All Portfolios now has a Print button at the bottom of the screen. This generates a printable PDF version report, which will include the Date Range in its header. A Total row at the bottom will displays totals for the Collected, Already Billed, Already Paid, and To Be Billed columns. When the option to hide $0 Buildings is selected, these will not be displayed in the report’s printable version.

When Save or Save and Generate Statements is clicked in the onscreen version, the system will automatically generate and store a new printable PDF version of the report; however, the report will be printable prior to saving via the Print button prior to saving. When calculations are created in bulk, the system will create multiple copies of the report.  A full copy with all portfolios will be stored on the Management Company Portfolio record.

The individual calculation that was created will also generate an individual report that is stored on that Portfolio’s record.  It will be accessible on the Management Company Portfolio screen, under the Management Fee Calculations tab. The tab will use the same headers normally seen on other portfolios. The Action column's View Calculation link, when clicked, will present the PDF copy.

Owner Draw Comment on Check Stubs – Banking, Money Out

Check stubs now indicate when they are for owner draws. An "Owner Draw" comment has been added to all check stubs created via the Management > Create Owner Draws button or the Post All Owner Draws Related Activity link.

No Convenience Fee Charge to American Express – Banking, Contacts, Portals

American Express (AMEX) prohibits charging their customers a convenience fee when their card is used.  To accurately track the types of credit cards used by our customers and ensure they do not charge a convenience fee on AMEX, the following modifications are being added to Propertyware:

  • Propertyware will discern whether a card is American Express from the credit card number entered in Contacts > Contact > ePay/Banking, on the Tenant Portal, and on the Online Application payment screen. The card type will then be stored in the payment account for future use.
     
  • In ePayments Settings, a drop-down menu, Accept American Express Cards, is being added. If Tenant or Owner Payments is selected from this menu, a convenience fee option will not be presented.  If AMEX is turned off in this setting, an error message will appear when a tenant or owner enters an AMEX number for payment: "We're sorry. We do not accept American Express cards as payment at this time. Please enter another credit card number and try again."



Credit Card Type Column in Leases Auto Payments Report – Reports

Credit card policies vary with regard to auto payments. For example, American Express does not allow merchants to charge convenience fees to their card users.  For this reason, some companies may choose to discontinue accepting American Express.

The Leases Auto Payments report is now more useful in informing such decisions. Previously, the report noted whether payments were made by credit card or E-Check, but did not specify card type. With the addition of the Credit Card Type column, which can be selected under the AutoPayment Summary header, property management companies may now use this report to see which types of cards are being used for their tenants’ auto payments, so they can make more informed policy decisions and notify their tenants appropriately.

This report can now also be filtered by Credit Card Type.

2/17/2012 – Feature Release

Format Changes to Cash Flow Summary PDF – Reports

The PDF version of the Cash Flow Summary report is adopting a more streamlined style to match the look and feel of standard reports such as the Balance Sheet.

The new format includes:

  • Half-inch margins all around.
  • Report header centered at the top, including management company name, report name, and Portfolio names where applicable.
  • More streamlined data presentation, with no visible lines between main data, and light gray lines between column/section headers and data.

In addition, a footer section added to Statement Options in the left-hand panel includes checkbox options for Date Generated, Time Generated (conditional on Date Generated box), Generated By [User Name], Page [Number] of [Number].

  • Publish Work Orders to Tenant Portal (default is YES)

When either option is checked, the work order will be published to the appropriate portal on the Maintenance tab. ENTERPRISE ACCOUNTS ONLY: “Published” Column Options Added to Franchise Stats Report Reports

For Enterprise customers, a Published-Occupied column option has been added to the Franchise Stats report’s left-hand panel. When selected, this column displays a count of all occupied rentable units that have the “Published box” checked in the Marketing section on the Building/Unit record.

Similarly, a Published-Vacant column option has also been added to the report’s left-hand panel. When selected, this column displays a count of all vacant rentable units that have the “Published” box checked in the Marketing section on the Building/Unit record.

"View Owner Contact Tax ID” Option in User Profile Permissions –  Setup

A new User Profile Contacts permission, View Owner Contact Tax ID, has been added.

When this box is checked, owners’ full tax ID numbers is visible to the user. When this box is not selected, the tax ID is encrypted to display only the last 4 digits. The box defaults as checked.

Disabling Auto ePayments Stops Active Payments and Warns User – Setup/Reports

When a user turns off credit card or ACH acceptance for auto ePayments, the following message and link now displays: "Warning! There are XX active auto payments that will be disabled with this change. For a list of all active auto payments, click here. Do you wish to continue?"

The click here link launches the current version of the Auto Payments report, filtered to only display active auto ePayments.

Also, when a current auto ePayment is disabled in settings, the end date now changes to the date it was disabled, to ensure auto payments will not fire from that point forward.

Payer Names on Payment Records – Leases, Setup, Money In, Reports

Single Convenience Fee for Credit Card & ACH payments – ePayments Setup

Credit card company rules require that only one convenience fee may be charged, whether the payment is by credit card or ACH.  To enforce these rules, Propertyware has modified its convenience fee system in the following ways:

  • Convenience Fee Global Settings have been established in Administration Setup > ePayments Settings.
  • An explanation that convenience fees cannot be charged on auto-payments via credit cards or ACH payments is now included next to this setting.
  • If the property management company does not accept credit card payments, Convenience Fee Global Settings will only refer to ACH payments.

Conversations v2 – Desktop, Portfolio, Building/Unit, Prospect, Lease,  Work Order, Management

A brand-new Conversation Stream has replaced the old Conversations format throughout Propertyware! Conversation Streams are now available on the Desktop, Portfolio, Building/Unit, Prospect, Lease, Work Order and Management screens.

  • Profile Pictures in Conversations

Not only does the Conversation Stream look and feel similar to Facebook, it actually allows users to pull their profile picture from Facebook via a Set My Photo button. This button will only pull the user’s profile picture from Facebook; no other data transfer to or from Facebook will occur.

Profile pictures can also be set and deleted by going to Setup > Personal Setup > My Account, and can be Reset either via that same Setup path or directly from the Conversations tab on the Desktop.

  • Permissions and Conversation Visibility

Any user can create a Conversation, whether they are Administrators or not. However, User Profile permissions are required to delete Conversations or Comments (which are the subsequent notes added to Conversations), whether they are one’s own posts or those of others.

Conversations are also visible according to Building Restrictions, which means that anyone with access to view a Building will be able to see all Conversations that pertain to that Building, regardless of who created the Conversation or what that team member’s assignments may be.

  • Conversations Use and Application

When creating new Conversations, you can decide who will be able to see the Conversation by selecting from the Start a Conversation with: drop-down menu. Messages can be sent to the Management Team, Tenant(s) or Owner(s). A comment to the right of the field will explain the option you have selected.

Once you’ve chosen who you want to have a Conversation with, simply type what you’d like to say in the Write a comment… field and click Share.

Conversations with Tenants or Owners can be started from the Contact Record, Lease, or Management screen, will be published to the appropriate Portal, and will send an Alert to the person you are contacting. 

Conversations that are published to a portal are identified by an icon, as shown below.

  • Linking Related Items to Conversations from the Desktop

While all Conversations started on the Desktop will display there, those Conversations can also be linked to related items in other areas of Propertyware, for one-step entry to entity records and portals.

To do this, click on Link a Related Item, select the type of entity you want to link the Conversation to, enter your data in the field provided, and click the Search button.  Once the results are displayed, click on the Name to complete the link.

•  The Conversations tab at the Portfolio level is the same as the Conversations tab in Management.

•  On the Management and Prospects screens, Conversations has been moved to the first tab position.

New Columns for Accounts Receivable - Tenant Balance – Lease Reports

The following Column options have been added to the Lease: Tenant Ledger category of the Accounts Receivable - Tenant Balance report.

  • Last Payment Amount – Shows the most recent payment to the Ledger.
  • Current Month Unpaid Charges – Displays the sum of all unpaid charges dated in the current month.
  • Sticky Note – Shows the full text of a sticky note on the Lease Summary or Ledger Page View.

Improvements to Sticky Notes – Portfolios, Contacts, Buildings/Units, Leases, Vendors, Management

With increased character capacity, longer Sticky Notes can now be posted in Portfolios, Contact Records, Buildings/Units, Leases, Management and Vendors. Also, when a Sticky Note has been created in any of these areas, it now overlays the screen until the Close button is clicked.

Additionally, User Profiles can now be enabled to Edit Sticky Notes under Global Settings, and to post a different Popup Sticky Note within each individual module they can be created in.

Improvements to Tenant Ledger – Leases

The Tenant Ledger has been enhanced, with updated button names and added functionality. First, the buttons at the top of the Ledger have been renamed:

  • Record Payment is now New Payment
  •  One Time Charge  is now New Charge
  •  Refund, Discount, Adjustment is now Adjustments
  •  New Journal Entry is now New JE
  •  Calculate Late Fee is now Late Fee

Updates to Form 1099-MISC  Printout  – Money Out/Management

Printed versions of Vendor and Owner 1099s now separate the Address 1 and Address 2 fields onto two rows. This applies to both Payer and Recipient address data, on both Vendor and Owner 1099s.

Exclude from 1099 – Chart of Accounts

In Setup > Customize > Chart of Accounts, a new option, Exclude from 1099, is now available. This applies to both Income and Expense Accounts.

Calculation Changes for Owner 1099s – Management

Propertyware has improved its calculations for Box 1 and Box 3 of Owner 1099s.

  • Box 1 - Rents: This includes income from all account codes set as Rent, plus offsets to that income, identified as Income accounts set as Discount.
  • Box 3 - Other Income: This includes income from all Income accounts NOT set as Rent or Discount. This box cannot contain a value below zero, so if the balance is negative it must be reported as $0 in Box 3, and the negative amount should be reported as part of the sum in Box 1.

Improvements to Audit Log – Reports

The Audit Log now records many more activities, including Campaign creation, CRP generation, Rent Bump, Saving Late fees, Edits to Sites, Budget changes, Copy Budget, Tenant Contact edits in Leases, Prospects changes, Alerts changes, Bill Payment entries, and the deletion of Custom folders in Reports.

Also in the Audit Log, the activity previously labeled Reassign Building Portfolio now displays as [Reassigned Building X] from [Portfolio A] to [Portfolio B].

Return Batches for ePayments – Banking

Because some ePayments returns are processed in batches, Propertyware now also groups these returns into batches. The batches, named by type (i.e. ACH Return Batch, Credit Card Return Batch) in Banking, Reconciliation and Reports, show each transaction in a nested list.

Total Added to Bank Balance Breakdown – Reports

In compliance with North Carolina Real Estate Commission requirements, Propertyware now shows a Total sum of balances by portfolio on the Bank Balance Breakdown report.

Payer Name Added to General Ledger – Reports

The North Carolina Real Estate Commission requires that bank accounts on the General Ledger include the payer name with each deposit account debit item. Propertyware now accommodates this requirement.

Unique Deposit Numbers Across Org – Accounting Preferences

The North Carolina Real Estate Commission requires that, when closing a bank deposit, the system assign a sequential Deposit Number that is unique across the organization, rather than just to each bank account. To accommodate this, Propertyware now provides an option to increment deposit numbers across all of an organization’s bank accounts. This can be done by going to Setup > Administration Preferences > Accounting Preferences > Deposit Number Unique Per and selecting Org.

New Property Views – Properties

To provide more flexibility in how properties can be viewed and grouped, Propertyware now offers a list view of Portfolios, Buildings and Units on the Properties home page. Multiple Property Views are available in a drop-down list, and custom views can be added as needed.

Once a Portfolio, Building or Unit is selected, the view returns to the familiar Navigator format, with a link back to the main list.

Updates to CRP Forms – Leases

Certificate of Rent Paid (CRP) tax forms for Minnesota and Wisconsin tenants have been updated for the new year. 2011 and 2012 have been added to the Select Year drop-down menu for generating CRPs, and all CRP forms have been updated to the 2011 17% calculation rate.

In addition:

  • The Total Months Rented figure is now added to Minnesota forms, calculated based on the Lease Start and End Dates. Similarly, Wisconsin forms now add a figure for Number of Months in this Rental.
  • On Minnesota forms, Place an “X” in box if count includes married couple is now automatically checked if residents have same last name and Titles of Mr. & Mrs. in the Contact Record, OR if the Is Primary Contact Spouse? box in the Applicant Information section of the Contact Record is selected.
  • Minnesota forms will also now have the box pertaining to partial payment by a government housing agency checked if the Public Assistance Program field on the Lease is set to anything other than NONE.
  • For both types of CRP forms, the number of occupants includes only those who are named on the Lease, and married couples are counted as 1.


11/18/2011 – Feature Release

Modifications to NACHA File Format – Setup > Chart of Accounts

For companies that use NACHA files to pay owners, some files require unique information to be entered into key fields. To accommodate this, Propertyware has added those fields to the New/Edit Account screen. The fields will only be available if Propertyware Subscriptions has enabled the client for NACHA Export. The property management company will need to obtain information from their bank to enter in these fields.

Exclude Charges from Require Pay in Full – Tenant Portals

Property managers can now be more selective as to which charges tenants must pay in full.

On the Tenant Portals setup screen, the Require Pay in Full selection is Yes, a new option, Exclude Charges from Pay in Full, displays.  When “Yes” is selected here, a list of accounts associated with tenant charges drops down for selection. All excluded charges are then listed below.

Merge Multiple Prospects into a Single Record – Marketing

For cases where duplicate Prospects are created or two different contacts are looking to lease together, the Related Activity Merge Prospects is now available.

  • Only the same Types of Prospects can be merged, and only two Prospects at a time.
  • Any contacts attached to merging prospects will also be merged.
  • Data from the deleted record is stored as a Note on whichever Prospect is chosen as the primary Contact Record. This includes the background screening detail report, if any.

Sales Contact Added to Management Team Roles – Buildings

A new Management Team Role, Sales Contact, has been created for cases in which a Building or Unit is listed for sale rather than lease.

The “Send To” groupings on Alerts and “Access Restrictions” on custom Report folders will combine Leasing Agent and Sales Contact roles when editing alert features or running reports.

Published Listings will display either the Leasing Agent or the Sales Contact, depending on whether or not the Building is listed as “For Sale” under Marketing Information. If no Sales Contact is on file, the Leasing Agent will default into the role to satisfy this requirement, but this can be edited.  Buildings also listed as Published Rentals will continue to use the Leasing Agent for published contact information. Building Reports will list the Sales Contact role separately, to ensure proper identification.

More Visible Content in Prospect Activity History – Marketing

Propertyware has increased the number of visible text lines in the Body/Description area of a Prospect’s Activity History. This will largely eliminate the need to click View when browsing a prospect’s activity.

Owner Cost Information for Work Orders and Maintenance History – Maintenance/Properties

To differentiate between actual costs to the property management company and costs to owners due to markups or discounts, Owner Cost information is now displayed more visibly in the following locations:

  • Work Orders now display Owner Cost along with Estimated and Actual costs.

  • Owner’s Cost is now displayed in Properties on the Building and Unit level under the Maintenance History tab. A ? tool tip is also provided to assist in differentiating the two types of costs.

Improvements to Auto ePayments setup – Tenant Portals/Leases

Auto ePayment setup has been enhanced in both Tenant Portals and Leases.

  • To reduce the chance of scheduling errors for tenants setting up Auto ePayments, start dates that occur in the past are no longer allowed.
  • When a tenant initiates an Auto ePayment, a confirmation screen that clearly displays First Payment and Next Payment dates now appears.

  • For Auto ePayment setup on the management company end, a similar functionality exists in Leases. However, this version requires certification that documented authorization has been obtained from the tenant.

Auto Charges in Draft Leases – Leases

Primarily for student housing, this new feature allows the creation of Auto Charges that begin prior to the Move In date shown on the Lease.  A warning pops up to confirm that the charge is being set up this way intentionally. Late fees will be calculated on these pre-move in Auto Charges.

Improvements to Draft Leases in Lease Grid Edit – Leases

Also primarily for student housing, the Status column can now be unlocked to allow Draft Leases in Leases Grid Edit, which can then be filtered for Move In dates within a certain range. Before any changes are made, the system will check to see if other active leases are attached to that same Unit. If so, the action will not be saved.

Selective application of Vendor/Portfolio credit – Money Out

A credit can now be applied across portfolios, provided that all the portfolios use the same default bank account. If there is an attempt to Apply Credits across portfolios but the portfolios do not default to the same bank account, the credit will not be applied and a message will appear:

In addition, Propertyware now allows the selection of specific bills in Apply Credits. The credit will be applied first to bills that have been selected via check-box, then to remaining bills by date if there is additional credit left.

Note:  If a credit is to be applied to just one particular bill, that bill must be selected during the same Bill Pay session as the one in which the credit is applied. The only way to ensure that credit will be applied just to that bill – as in the case of a building-specific credit – is to run a Bill Pay session solely for that one bill and credit.

You now have the option of beginning an Owner Statement Simple report with an Income Summary Page. When selected, Income Summary Page appears on page one as an alphabetical summary of each type of income or expense that has affected the owner balance during the report’s selected period.

Portfolio Level Budgets  – Budgeting

Budgets can now be created for Portfolios as well as Buildings.  Reports that display budget information will also include a Portfolio filter option to display the Portfolio budget information.

Enterprise Version Only: Restrict Editing of Email Address

The ability to edit User account email addresses will be restricted or disabled.

MASTER ACCOUNT: Setup > Administration Setup > Manage Users > User Accounts.  Only users with Administrator privileges will have the ability to edit existing user email addresses.  This field will be disabled for all other users.

 

CHILD ACCOUNT: Setup > Administration Setup > Manage Users > User Accounts.  The Email field for users created through the Master Account will be disabled for all users.  This contains the auto-generated alias email address which should not be changed for proper functionality.

Set Forwarding Address – Leases

The new Related Activity Set Forwarding Address allows the user to update the Lease record address at any time.  This address will be used on any refund checks and on a Move Out for this Lease.

Portfolio Search View – Setup

The Portfolio List view has been updated to a Portfolio Search view in Setup > Administration Setup > ePayment Settings.  The Portfolio Settings section is now located below the Application Fees section and will only display those properties with exceptions to the default global ePayment settings established above. To add or edit a Portfolio in this section, type to search.  To view all Portfolios, click the List View option.

 Eviction Status Prompt – Leases

Editing a Lease Status to the default status of Eviction will now result in a prompt for more options before the change in status will be saved.  The options Do not accept any payments and Do not allow portal access will be selected by default.  If the option Do not accept any payments is selected, any auto-payments associated with the lease will be updated with the current date as a stop date.

Note:  Changing the lease status from Eviction to any other status will not automatically update these settings.

Select Profile Type – Manage Users

The User Profile type will now default to Please Choose when creating a new User.  This is to ensure the proper default security settings are enabled by Profile as new users are added to an account.

Document and Report Link Routing – Owner Alerts/Owner Portals

The document and report published links within Owner Alerts will now direct the owner to the appropriate document or report within the Owner Portal.  If the owner is not logged in to the portal, the login page will display.  After successfully logging in, the referenced document or report will display.


Payee Options on Tenant Refund – Leases

Tenant refund checks now provide the option to select a payee of Primary Tenant or All Tenants on Lease.  Selecting All Tenants on Lease will add all contact names designated as “Named on Lease” to the payee field of the check.  This is available on the Refund, Discount, Adjustment feature as well as a Security Deposit Refund.

Canadian Format Templates – Mail Merge

Eight new Lease Mail Merge Template documents will be available in the Template Gallery.  These documents are formatted and contain options that meet Canadian property management standards; however, they may be used by all users.  These templates can be added to an account by going to Setup > Templates > Mail Merge > Template Gallery.  The available mail merge templates include:

  • Canadian – 1 Month Notice to End Tenancy
  • Canadian – 10 Day Notice
  • Canadian – Condition Inspection Report
  • Canadian – Notice of Final Opportunity to Schedule Condition Inspection
  • Canadian – Notice of Rent Increase Form N1
  • Canadian – Notice of Rent Increase Residential Rental Units
  • Canadian – Residential Tenancy Agreement

Statements Tab Reformatted – Owner Portals

The Owner Portal Statements tab receives a streamlined look and feel.  Owners will now have the ability to sort statements by Portfolio and/or Period Dates.  Actions are simplified to two links, Download and View Bills.  Optional Portfolio Summary sections display real-time  balances, income, expenses, and fees.  The selection option to display the Portfolio Summary sections is available in Portals > Owners. If an owner owes a balance or would like to make a contribution, the new Make Contribution Online link located in the header or in each Portfolio Summary box adds to the Contribution button at the bottom of the ledger.  Clicking this link from a Portfolio Summary section will direct the owner to make an electronic payment to the Portfolio in which the link displayed.

Note: The Portfolio Summary information will include ALL transactional activity and will not hide pass through account activity/balances.

View Bills Links – Owner Portal/Alerts

Clicking to View Bills related to a statement will now direct owners to the Bills tab, which will be automatically filtered to match the date range of the related statement.  The View Bills link is available from the Owner Portal Statements tab and will redirect the owner to the Bills tab when clicked.  The View Bills link is also available in the Owner Alert.  When clicked, this link will direct the owner to the Bills tab of the Owner Portal.  If the owner is not logged in to the portal, the login page will display.  After successfully logging in, the Bills tab, filtered by the statement dates will appear.

Mail Merge Limit Increased: Leases

The limit of the maximum number of Mail Merge Documents that can be generated at once has been increased from 50 to 100.

 

Create/Edit Maintenance Categories: User Profiles

The ability to create and/or edit maintenance categories is now a specific User Profile option.  This option will be selected by default for users with access to the Maintenance section.  Deselecting this option will remove the Create/Add/Edit command buttons from Setup > Customize > Maintenance, Work Orders, and Service Agreements.

View Only Prospects Assigned to User: User Profiles

The ability to restrict visible prospects based upon assignment is now available as a User Profile option.  This option will be deselected by default for users with access to the Marketing section.  Selecting this option will restrict the records visible in Marketing > Prospects to only those assigned to the specific user.  Note: Users with this restriction will not be able to edit prospect assignments.

Standard Term for Leases: Lease Forms

Lease Form Details now include the option to set a standard End Date Term.  The preset defined terms available in Leases will also be available to select here.  Setting a standard term for leases will default the appropriate end date based upon the term and start date, when the form is selected for a new lease.

Unique Deposit Number: Bank Deposits

A unique Deposit Number will now be auto-generated when a deposit is closed.  This will appear on transactions, bank ledger and reconciliation, and reports under either the Ref # or Dep # headers. The exception will be for ePayment transactions which will continue to use assigned ePayment numbers in ref # fields.

Percentage of Income/ Percentage of Expenses: Cash Flow Detail Report

The Cash Flow Detail report now includes the Statement Option to display the % of Total.  This column will display the percentage values for income and expense account totals as shown.  Percentages to the nearest 2 decimal places are calculated based upon the account’s ratio to the total income or expenses accordingly.  Other account activity displayed on the report will not be included in calculations.  Percentages will total 100% for each Total Income and Total Expenses.  This report version must be updated to have this option.

“OR” Custom Filter Mode: Reports

Custom report filters will now include the logic “OR” along with the existing “AND” logic.  When using the OR filter mode, the report will be filtered to display records that meet the criteria for any one or more of the filters added.

For Rent/ For Sale Outside Listings: Sites

The ability to designate the website linked to listings outside of Propertyware is now available when editing a website.  When a unit/property listing located outside of Propertyware is clicked, the user will be directed to the site designed here.  If no site is designated, the user will be directed to the Propertyware hosted website for details.

Enterprise Version Only: Push Template Views to Locations

The ability to push views from the Template account to selected location accounts is now available for Contacts, Leases, Prospects, and Maintenance Views.  From the Template account, create or select an existing view.  Then click Push to Enterprise Location.  A prompt will appear allowing the user to select the desired locations.

Building to Multi-Unit Building  

Non-multi-unit buildings can now be edited to multi-unit buildings.  When editing a building, the Multi-Unit Building option is available.  If this option is updated to ‘Yes’, additional fields including Number of Units and Naming will appear. If any leases were attached to the building record, they will automatically attach to the first unit created as a result of saving this change.

Prior Year to Date Option – Cash Flow Summary Report

The Cash Flow Summary Report now includes the Statement Option to add the column Prior Year to Date.  This column will display balances based upon the period selected, but for the prior fiscal year.  The report version must be updated in order to have this option.

Report Refresh Button

Non-grid style reports no longer auto refresh after returning from a drill-through.  Often, the report’s data has not changed since the last view and this update enables the report to appear faster, increasing efficiency.  If changes have been made that affect the report data, the report can be manually refreshed using the Refresh button located in the toolbar.

Clear Management Funds Reversals Detail – Money Out Checks Report

The Money Out Checks Report now displays full details for decreases to management fees that are the result of reversals when using the Clear Management Funds feature.  The optional details include the Portfolio, Building, GL Account #, GL Account Name, Amount, and Calculation.

A prompt will appear after an owner edits, adds or removes Payment Account information through the Owner Portal.  As a reminder, this prompt asks if the owner would also like to update the Draw Payment Method.  Selecting Yes will open the Edit Contact Information screen where the Draw Payment Method can be changed and Saved

08/19/11 -Feature Release

Historical Bank Reconciliation Reports

The report that is generated from a closed bank reconciliation report is now historically accurate. Previously, the uncleared items were reporting in real-time, causing the past report to change and the reconciled balance to be incorrect.

Tenant Contact Information at the Building and Unit Level

Now Buildings and Units within the Properties module, include three primary contact phone numbers as well as the email address for the tenant in the Tenant Information section.

Vendor Name Vs. Company Name

You can now add a new vendor that uses the same Company Name as other vendors.  Only the Vendor Name has to be unique, but the Company Name and Name on Check can be the same.

Returned Payment Alert

A returned payment triggers an alert to the email address specified in the ePayment Settings. The alert also specifies the reason for return, e.g., invalid account, insufficient funds.

Returned Payment Handling

All returned transactions now show as Returned Payment on the Lease Ledger. The transaction also has a Returned Payment Notice in the Action column. Hover over the callout   to view the reason of the return.

A Returned Payment Notice Template is available for selection when you click the Returned Payment Notice link in the Action column. The template lists the specific reason for payment return.

In the Chart of Accounts, the Fee For Bounced Checks is changed to the Fee for Returned Payment. In the Accounting Preferences, the NSF Recharge Date is changed to Returned Payment Recharge Date. The Date of NSF is also changed to the Date of Returned Payment.

Now, reports also show the reason a payment failed in the Description/Comment column.

User Alerts for Returned Payments

Three new customizable User Alerts have been added to generate alerts for returned payments.

  • Tenant Epayments or Check21 Returned
  • Owner Epayments or Check21 Returned
  • Failed Owner Draw via ACH

These alerts can be set for tenant payments, owner payments, or owner draws.

New Column Options for Income Statement Standard Report

Income Statement Standard reports in the Financial Statements category now include the following additional column options.

  • Fiscal Year To Date: This shows everything beginning with the first day of the fiscal year to the end date of the selected time period.

  • Previous Year To Date: This shows everything beginning with the first day of the prior fiscal year to the end date of the selected time period. For example, if the time period filter is set to the Last Month and your Fiscal Year First Month in Accounting Preferences is March, the Prior Year To Date column starts with 3/1/2010.

Consolidated Portfolio Filter Option for the Schedule E Report

The Schedule E report in Financial Statement can now prepare multiple individual reports for separate Portfolios. To create multiple individual reports for separate Portfolios, deselect the Consolidated option in the Filters dialog box.

Consolidated Filter Option for General Ledger Report

The General Ledger report in the Financial Statements now has a Consolidated option in the Filters dialog box. When this option is unchecked, you can create multiple individual reports for separate Portfolios.

 

 

08/12/11 - Feature Release

Vendor Credits

You can now enter a credit memo from a vendor and apply it to unpaid bills in the Vendor Ledger.

To add a vendor credit:

  1. Click the New Credit button.
  2. Fill out the New Credit fields. Enter the Credit Splits when multiple accounts, portfolios, or buildings are applicable to the credit memo.
  3. Click the Save button to create the vendor credit. The new credit reduces the vendor balance. A change to the Vendor Ledger now displays a Balance column and shows the running total (Bill Amount – Credit Amount Paid) for the vendor, with the most recent transactions at the top.
  4. When paying for bills in the Bill Pay Page View, use the Apply Credit button to select the vendor credit. Click the Done button to apply the credit to the vendor balance.

Bill Pay Process Enhancements

You can now pay vendor bills by split lines instead of full bill. You don’t have to create separate vendor bills anymore if the bills are using different bank accounts.  Note that the account used is the default bank account that is set on the Building, if a building is identified on the bill or is the default bank account that is set on the Portfolio, if only the portfolio is identified on the bill. The Bill Pay Page View has been enhanced allowing you to:

  • Pay split line items individually on a single bill that include multiple portfolios and bank accounts.
  • Apply credits to individual bills.

With the new enhancements, you can select bills from different accounts and pay them all at once:

  • Click the plus sign next to a bill to view the individual splits. If the bill is checked for payment, the individual lines are also checked. If the amount of the full bill is changed, the amount paid on the individual bills is changed too.
  • Use the Apply Credits button to apply credits to vendor bills. The credit amount is displayed in the Credits Used field.
  • The credit is automatically applied and deducted from the To Pay amount when you select the bill.
  • Use the Auto Apply Portfolio Income filter option to have the system automatically select bills to pay, based on the available Portfolio balance.

Tenant Notifications Enhancements

Tenant Notification Alerts have nine new alerts and all tenant notifications have been enhanced to allow user customization. The format is also enhanced so the alerts are grouped in categories. The following is the list of all the new alerts:

  • Payments
    • Reminder of Balance Due 
    • Electronic Payment Failed 
    • Returned Check Notification
  • Maintenance 
    • Maintenance Request Received (The Maintenance Request Received alert requires a secondary-activation condition to trigger it. The alert is triggered if you have selected Send Tenant Alert check box when creating a new work order.  If the condition is met, the alert is sent to tenants as an acknowledgement that a phoned in maintenance request has been received and logged in the system.) 
    • Service Request Assigned to Vendor
  • Lease 
    • First Notice of Lease Expiration

Marketing Screening Report Update

Both Screening and Screening Prospect reports show information on all contacts on a screened Prospect Household.  An additional enhancement is that screening reports display the desired location by default.

Owner Statement Simple Enhancements

The Owner Statement Simple has three new Columns options:

  • Group By Building
  • Group By Unit
  • Hide Vendor Name

Group By Building: This option rearranges the data from a straight chronological order with ledger style running balance to group transactions by building. The primary sorting is by building and then by date.  The Balance column displays the sum of Incomes less all Expenses for that building. 

Group By Unit: When this option is selected, the report is rearranged from a straight chronological order with ledger style running balance to group transactions by Unit. The primary sorting is by unit and then by date.  The total of income, expense, and net income are displayed for the unit. For this option, a single-family home is treated as a rentable unit and is included separately on the report.

Note: If you select both Group By Building and Group By Unit options, the statement is sorted by the building and then by unit. The Balance column displays the net income or loss for the individual building or unit.

Hide Vendor Name: When checked, the vendor name is not shown in the Details column.  Also, when ‘unpaid bills table’ is active, the vendor name column will be hidden.

Additional Information:
The comments added to split lines on bills and checks now display in the Details column of the report, providing more information to the owner. 

The printed copy of the Owner Statement Simple now includes more information about a voided check to provide a better link to the original transaction.  It now displays Voided for all voided checks in the Description column. 

Work Order, Service Agreements, and Service Agreement Work Orders Reports Update

Work Order, Service Agreements, and Service Agreement Work Orders reports have new Lease and Building column options.


07/29/11 - Feature Release

  • Grid-Style Columns Width Mode Improvements

Reports that have a grid format automatically display with proportional sizes, based upon the number of columns.  As you add or remove columns, it automatically resizes all columns to fit your screen.  Now if you need to change the width of a column in these grid-style reports, the system automatically changes the Column Width Mode to Manual. This makes sure that the column width you set remains when you save the report. It also prompts to let you know about the mode change.

  • Report Update

After drilling through from a standard report to the detail, if you go back to a report using the Back button, the original report is displayed without re-loading it. This eliminates the waiting time to re-run the report. A common example is shown below, after drilling from the Balance Sheet Standard to the Balance Sheet Detail.  Now, the system responds more efficiently in this process.

  • File names of Downloaded Documents

Downloaded and exported documents from our system are going to have meaningful names. For example, if you download all documents from the lease module, the document is going to be named as the leasename_document.zip.

  • ePayment Credit Card Settlement Dates
Credit card transactions submitted on the weekend are settled on Tuesday.
  • ePayment Returns Update

When we are notified of the return from the Jack Henry, we wait another business day until the money actually comes out of the company’s bank account. The date we get from Jack Henry is actually the date the return is transmitted and doesn’t affect the customer's bank account until the next business day.

  • ePayment Reconciliation Updates

ePayment Reconciliation now shows each transaction type and includes: 

  •  
    • Separate batches for each type of ePayment (ACH, CC, Check 21), instead of one batch for ePayment combining ACH and credit card
    • Correct bank credit/debit date, so owner draws are grouped by the origination date

The Payment Type in the Payment Detail screen for the ledger also shows either Epay – ACH or Epay – Credit Card.
  • HOA Portal Headings

Titles on Customer Portals for all the purchased HOA versions of Propertyware have been renamed as follows:  

  • Client Portal (for Tenant Portal) is renamed to Homeowner Portal.
  • Owner Portal is renamed to Association Portal.
  •  User Accounts in Enterprise Master

If users are first set up in a single Location account of the Enterprise version, they can be converted to the Master Enterprise account as opposed to creating duplicate user records. Now we check for a matching user name when assigning the new Master user to a Location account and if found, convert the Location user to the Master alias user.

07/22/11 - Feature Release

  • When you add or remove many columns in a report, to reduce the lag time, there is no update  for two seconds of inactivity.

  • Information regarding the “Dodd-Frank Amendment” and our Tenant Screening powered by LeasingDesk The Dodd-Frank Wall Street Reform and Consumer Protection Act contain new Credit Score Disclosure requirements that go into effect on July 21, 2011. Specifically, our system generated Adverse Action Letters include the following additional information when the applicant does not meet a Property Management Company’s requirements for an acceptable Credit Score (if applicable based on their screening criteria profile)

    • The specific credit score of the adversely affected applicant when the ‘unsatisfactory credit score’ was used in making the adverse decision on the rental application;
    • The name of the consumer reporting agency or other person who provided the credit score. (Our system uses Equifax exclusively.)
    • The date on which the credit score was created;
    • The range of possible credit scores used by the specific credit bureau; and
    • The key factors that adversely affected the credit score. Clients who do not use the automated decision capability of our solution (we cannot provide Adverse Action Letters for them) are encouraged to consult with legal counsel to ensure that any adverse action communications they produce on their own comply with all Federal and State requirements.
    • In summary, our system produces adverse action letters that comply with the new Dodd-Frank requirements.

07/15/11 - Feature Release

  • Management Summary Portfolio Search Entry Enhancement — When typing in the Portfolio search box, the first Portfolio in the list is highlighted. As you use keystrokes to narrow the search, when it appears first in the list, you can press Enter to accept the entry and go directly to that Portfolio.

  • Portfolio Historical Balance Report Update — Finance Reports > Portfolio Historical Balance report now includes a Total row for columns. 

  • Vendor Restrictions Setting The Money Out > Vendors > New Vendor screen has a new Access Restriction section visible to Administrators, which allows them to select user profiles or specific users that will have access to certain vendors.

By default, all selected profiles or users can view the vendor. As with other restrictions in the system, when nothing is checked it means there are no restrictions.  When an item is checked, it will then restrict access to only the selected profile group or individual users. Anyone without permission (unchecked) does not see the vendor in the Money Out tab, in drop-down lists for new checks, or when attaching a vendor or creating a bill through the Maintenance tab.

  • Report Action Button for Enterprise Users In the Enterprise Template Account, when viewing any detail report, a new Push to Enterprise Locations button can be seen.  When clicked, that report is copied to all of the site locations.

  • Dashboard Update  Mini-table style Dashlets will now display in a wider view making additional columns visible.  In addition, Mini-Table Dashlets that contain entity names, such as a Buildings report displaying the Portfolio and Building, now includes hyperlinks on the entity name that link directly to the entity record, such as the specific Portfolio or Building selected.

07/08/11 - Feature Release

Move In Update — The Move In screen has new Charge Date fields to select dates for security deposit and other move-in charges. This is in compliance with Florida RE Commission to accurately report when fees are charged and collected.

  • Choose the Charge Date for your security deposit.

07/05/11 - Feature Release

  1. Audit Log Tab Update — An Audit Log tab has been added to Portfolio, Building, Unit, Lease, Prospect, Vendor, Contacts, and Work Orders to display any activity and changes that have taken place in Propertyware. Click the Audit Log tab to see activity logged with the time, user name, and type of action performed. Specific details of edits to the record will be provided, including both the old original data and the updated new data, to give a full audit trail of changes made.
  2. Audit Log Report Improvements — The Administrative Reports > Audit Log shows more useful information, including additional transaction entries.

    Note
    : In order to compile this data, the contents of the existing Audit Log are going to be deleted. If you need data from the log for an earlier date, contact  Propertyware Support.

07/01/2011 - Feature Release

  1. Owner Statement Detail by Building Report Update — The Owner Statement Detail by Building report now has footer options that show when the report is generated and by whom.
  2. Voiding Checks Update — You must now select a date to create an adjusting entry for voided check, which has not yet cleared the bank. This keeps prior periods intact while allowing the check to be marked as void.
  3. Start Date Lease Alert Improvements — The Alerts > User Alert > Lease Alert > Start Date alert is modified so that leasing agents or property managers only receive an alert it if it concerns a building where they are a team member. Also, in the Edit Alert screen you can now select a delivery format from the following two options: One Alert Per Date to send a single email with multiple lease start records on the selected date and One Alert Per Lease to create individual email alerts for each lease start record. The alert contents have been expanded to include additional information. New information includes the Unit, a Description of the lease auto charge account and amount, and a # on Lease field that shows the count of all who are Named on Lease. In addition, Tenant Contact information has been included for all who are Named on Lease with phone numbers and email address.
  4. Customized Service Request Form on Tenant Portal — You can now choose the Service Request fields that are required on the portal. Go to Portals tab Service Request section; the fields for service requests on the Tenant Portal are displayed. They are also marked required (checked off). If you want to add a new field:  
    • Add a custom field to the Work Order. This field appears in the Service Request Fields section in the Portals screen.
    • Click the checkbox for the new field in the Service Request Fields section to make that field required.
    • Click the Edit Service Request Fields link to add the field on the portal.

  1. Unsubscribe Option in Marketing Emails — All mass marketing emails now include an Unsubscribe link to allow recipients to opt out of receiving marketing emails from the property management company. To re-subscribe a contact to the mailing list, a new field Receive Marketing Emails with a checkbox has been implemented in Prospect Contacts > Edit.

06/17/2011 - Feature Release

  1. Consolidated filter option for Income Statement Standard by Month and Budgeting Reports — A Consolidated report filter option has been added to the Financial Statement > Income Statement Standard by Month and Finance Reports > Budgeting reports. Check the Consolidated Filter Report Option to generate a report that combines data for all selected Portfolios, Buildings, or Property Managers. 
  2. Balance Sheet Printed Reports Change — The printed versions of the Balance Sheet Standard and Balance Sheet Standard by Portfolio have been changed to use a more standard, portrait financial report design layout. The Portfolio name is in the header. If the balance sheet is consolidated, Consolidated appears on the header of the report and the individual Portfolios are listed below. New footer selections are available in the Reports Options to provide audit documentation of the report generation.
  3. Customized Column Widths on Grid-Style Reports — You can now save customized column widths for grid-style reports. Use Column Width Mode button in the footer to set the active mode for the report with options of Auto (the default) or Manual.
  4. Envelope Printouts Update — Envelopes printed from the Lease Mail Merge now use the Tenant Contact name instead of the Lease Name.
  5. New Statement Options for the Owner Statement Detail by Building Report — On the Owner Statement Detail by Building report Columns tab, two new Statement Options are available: 
    • Hide Portfolio Detail — When this option is checked, the Portfolio named section, immediately beneath the Portfolio Summary, is not displayed on the report. 
    • Page Break between Properties — When this option is checked, a page break is placed on the printed version of the report between each property detail section.
  6. Owners Portal Notification and Update — A new automatic owner notification Owner Statement Published has been added and is available for customization. This notification is sent when the property management company publishes statements to owner portal using any of the following options:
    • Management> Summary> Related Activities> Generate All Statements
    • Management > Summary> Attach Statement button with Publish to Owner Portal selection
    • Reports > Owner Statement > Publish > Owner Portal
    • Reports> Owner Draws > Publish > Owner Portal
A new functionality for the date range field on the Bills tab in the Owners Portal will mirror the statement date range. If the Property Management Company has made the bills visible to the owners, a link is appended to the automatic notification or email sent through Post All Owner Draws that takes the owner to the Owner Portal>Bills tab with the statement date range already filtered for you.

Details for Management Fees Cleared
- When you clear management funds, you can now see the details of what has been paid on the Money Out - Checks report in detail as long as the fees are paid by Check and not Journal Entry. Tenant Portal - Updating Contact Information - When a tenant edits their contact information on the portal, an optional feature will allow you to track the change and save that history on the tenant contact.  In the Portal tab, Tenant page view, a new setting has been added, "Record Info from Contact Changes as Note on Contact".  This setting is currently defaulted to "Yes".

05/06/11 - Service Agreements

Service agreements in Property Management circles are agreements with vendors that are contracted to perform certain recurring duties.  This could be your landscapers, your carpet cleaners, or snow removal.  These agreements detail out a series of maintenance related activities fulfilled by the vendor.

In the past you might have had to post these as individual work orders.  Not anymore.  Propertyware's Service Agreement feature allows you to create a work order template that can recur at pre-selected intervals or you can add manual occurrences to it and save yourself the time of entering the same information over and over.  Who's got time for that, when you can be growing your business?  You can find this great new feature in the Maintenance tab. . .

Tenant Portal Naming Conventions

Propertyware has made the verbiage on the tenant portal either customizable or generic to account for a wider range of business models.



Custom Prospect Layouts

Marketing subscribers have the ability to create prospects in Propertyware.  Propertyware now offers the ability to create custom layouts for the creation of prospects.  Prospects are sorted by type; owner, tenant, buyer, etc.  An Administrator can choose what sections/fields are available on each prospect type.

Creating/Editing a Custom Prospect Layout

Step Action/Screen
Click the Setup link in the upper right hand corner of each page in Propertyware.
Expand the Customize folder.

 

 

Expand the Marketing folder and click Prospect Types.

 

 

Click the Layout link in the action column.

 

 

The Sections of Layout:  [Type] pop up window will appear.  In the "Visible" column, click the checkbox next to the sections you want to make available on the Prospect type.
 

 

When a new prospect is created, Propertyware will check the sections you have made visible and only display those sections/fields on that prospect type.

Existing prospect types will retain the current formatting.  Follow the steps above to customize the template.

·      Report Update:  Enterprise Franchise Stat – The following columns have been added to the report:

·       New Statement:  Owner Statement Property Summary A new owner statement is available by clicking the New Reports button in the Reports tab.  This report makes available:

o       Portfolio current and YTD summary.

o       Property income summary for period including scheduled rent by unit/building with lease name.

o       Expense details.

o       Detail of payments to owners.

o       Management fees generated by unit.

The owner’s address is aligned so that, when folded properly, it will display in a standard windowed envelope.

·       Edit Bill Payments – You can now edit certain information on checks and bill payments.  Click the Edit link located in the Action column on every bill payment and check.  Certain fields are restricted from editing if an accounting period is closed or if the payment was cleared on a bank reconciliation, but some fields that can be changed without risk will be editable fields, even after these events..  Fields that will be available for editing are:

o   Memo

o   To Be Printed (checkbox)

o   Reference Number

o   Location (Bill Split)

o   General Ledger Code

o   Comments

 

·       Split Line Checks – When creating checks to vendors (Money Out > Vendor Ledger > New Check), you will now be able to add split line items between multiple Portfolios for more accurate GL and location tracking.

·       Unit/Building “Last Modified” field – The Unit and Building screens display a “Last Modified” field that reports will now be updated by additional functions.  The Units and Buildings reports now have optional “Last Modified” and “Last Modified By” columns to report this information.  Functions that update this field have been expanded to include:

o   Attaching note

o   Attach document

o   Attach work order

o   Attach lease (Building)

o   Rent Unit (Unit)

o   Add floor plan

o   Add multi-media

o   Add insurance carrier (Building)

o   Add mortgage info (Building)

o   Add Asset

·       Enterprise User Profiles – When an enterprise Admin creates a user profile at the master account level, Propertyware will push that profile to the enterprise location and assign that profile to the newly created user (Master Account > Enterprise Setup > Manage Users and Profiles).


In order for this feature to work correctly, the following requirements must be met:

1.     The User Profile has to be created on the Master Account

2.     The User that you're granting location access has to have their User Profile set to this new profile on the Master Account before being assigned to the new location.

3.     The user cannot already have an alias account on the newly assigned location.  

 

·       New Management Fee Calculator Column – The "Already Billed” column has been added to the management fee calculator. When management fees are billed, you have the option to create them as paid or unpaid bills.  This column will show you management fees that have been either billed or paid, tallying both together.

 

 

Note

This is replacing the “Paid”column.  The “Paid” column only displayed a total of management fees that were paid, it did not take into consideration management fees that were billed.

 

The "To Be Paid" column has also been updated to “To Be Billed.”  It will calculate any management fees that have not been billed or paid for the period in focus.

 

·       Post all Management Fees Filter – A “Hide Buildings with $0 to be Billed” filter has been added to the Post all Management Fees page.  Clicking this checkbox will only display buildings that have management fees due for the period in focus.

 

·       Prospect Fields – The gender, date of birth, and address fields will no longer be required on the prospect until the prospect is screened through Propertyware or when they become an applicant.

 

·       Owner Notification – “Document Published to Owner Portal  When a document is published to owner’s portal, an alert is sent to the owner letting them know that the document is available.  This had previously been a behind-the-scenes alert, but it is now visible in the list of alerts so you will now be able to edit that alert and even mark it inactive if you don’t want it sent to your owners.  An Administrator must navigate to Setup > Customize > Alerts > Owner Notifications and click the Edit link to make change.

 

 

 

 

04/08/11 – Propertyware Feature Release

The following features/enhancements will be available in Propertyware beginning, April 8, 2011.

·      Rent Bump –  Since local municipalities can govern the rounding rules for rent increases, Propertyware’s Rent Bump feature allows you to control how the feature rounds rent increase percentages.  After you enter the increase percentage, you can choose to round to the nearest cent, half-dollar, dollar or five dollars.  Propertyware will then calculate the percent increase and round the figure according to the rule you select.

·      General Ledger Update – In California, the Department of Real Estate requires that a check number be listed on the General Ledger for all transactions that impact the trust account.  To comply with this requirement, the Ref # column has been added to the General Ledger report in Propertyware.

·      Lease Mail Merge – When creating a Lease Mail Merge document, owner contact information will be included as available fields. 

·      Bank Ledger – Their have been three significant improvements to the Bank Ledger tab:

1.     We have added ability to print ledger.

2.     The Debit/Credit columns have been renamed to Increase/Decrease.

3.     We have added a Clr column that indicates whether the item has cleared a bank reconciliation.

·      Managers Commission Extended Report – The Manager’s Commission Extended Report is available by clicking the New Report button.  This report will provide the option to choose the fees to include.  The filters tab will display the GL codes available.

·      User Profiles – Administrators now have the ability to limit access to the Leases tab by page view (Setup > Administration   The Leases tab is broken up into two page views, Summary and Ledger. Administrators can now provide or limit access to each view instead of by tab.  This will allow you to give a user full access to one view while limiting permissions in the other.

Depending on access permissions, users may have a slightly different view of the Ledger or Summary page views.  Administrators should review permission limitations before making changes.

·      New Alert:  New Prospect from Call Tracking – A new real time alert will be added to the Alerts > User Alerts section in Setup.  When activated, this alert will be sent in real time to the recipients selected in the alert preferences.

·      Management Portfolio Search – The Portfolio field in the Management tab is now a searchable field.  This will allow you to locate your portfolios quickly by entering the portfolio name in the search field.  Propertyware will narrow the results as you type.  You can also use the “*” asterick to pull back all portfolios and choose the from the list.

·      Marketing Inquiry Types – The “Type of Inquiry” field in Propertyware is used track the reason for the prospect’s contact.  Propertyware offers the following types:

o   Application

o   General Question

o   Owner Inquiry

o   Showing

Administrators can now create custom inquiry types by navigating to Setup>Customize>Marketing>Types of Inquiry.

Once created, the custom type will be visible in the “Type of Inquiry” dropdown on the Prospect.

·      Unit Reports Update – Lease Status is now an option column on the all Unit reports.

 

04/01/11 – Propertyware Feature Release

The following features/enhancements will be available in Propertyware beginning April 1, 2011.

·      Contact Grid Edit – You can now add/update the owner’s draw payment method using the Grid Edit feature in the Contacts tab.  Once you have added Draw Payment Method as a selected column, you can perform individual or mass updates on the column.

·     Owner/Tenant Prospect ROI – Propertyware now provides reporting on owner/tenant prospect return on investment (ROI).   When an owner prospect is created, you will need to enter the number of Properties managed in the Owner Property Info section. 

   Behind the Scenes

 

When a prospect is converted, Propertyware will store the conversion date.  Owner calculations will use the number of properties managed to help calculate ROI.   Here is how Propertyware will run the calculations:

·       Tenant Revenue – The tenant revenue value is an estimate of the expected management income per month that the new tenant will generate.  This is the sum of management income per unit for the prior month divided by the total number of tenants in the system.

·       Owner Revenue – The owner revenue value is an estimate of the expected management income per month that the new owner will generate.  This is the sum of management portfolio income for the prior month divided by the number of rentable units multiplied by the number of properties the owner manages.

 

 

Tenant Revenue, Owner Revenue, Number of Properties Managed and Converted Date will all be available on Marketing reports and Prospect Views.

·      Enterprise Prospect Statuses – Enterprise master account Administrators can now push prospect statuses to all of their enterprise locations.

03/25/11 - Propertyware Feature Release

 

Beginning March 25, 2011, the following features/enhancements will be available in Propertyware:

·         Merging Amenities – When an administrator deletes a building amenity (Setup > Customize > Properties > Amenities > Del link), Propertyware will offer the option to merge the data with an existing amenity or to permanently delete it from all properties.    If there are two similar fields, air conditioner and AC, for example, you will want to merge the amenities to be sure you don’t lose any data. 

Click the Delete button to complete the merge.

·         Split Line Checks – When creating checks to vendors, you will now be able to add split line items on multiple portfolios for better GL and location tracking.

·         New Prospect Contact Information – When attaching a contact to a tenant prospect, you will be able to add the tenant’s mobile phone number in the “New Contact” quick add screen (Marketing tab > Prospects page view > New Prospect > New Contact).

·         Balance Sheet Detail Report – You can link from the net income lines on the Balance Sheet Detail to the Income Statement Standard for the same report period.  This will allow you to reconcile the net income.

03/18/11 – Printable Deposit Tickets

Beginning, March 18, 2011, the following features will be available in Propertyware:

·         Deposit Ticket – When editing a bank account in your chart of accounts (Setup > Customize > Chart of Accounts), by choosing the Blank Deposit Form radio button, an Administrator can enter the MICR line to be printed with your deposit tickets.

Once you have entered the MICR line, it will be available when you print your deposit tickets from your closed bank deposits (Banking > Deposits > [Select Closed Deposit] >Print Deposit Ticket).

03/11/11 – Propertyware Feature Release

Beginning, March 11, 2011, the following features will be available in Propertyware:

·       Building Level Syndication Option – A Syndicate field has been added to the Marketing Information section on each building.  If this is set to “No”, the property will be excluded from any outgoing marketing feeds (Trulia, HotPads, etc.).

This setting will also be available as a column option on all building/unit reports.

·       Edit Paid Bills – By navigating to Money Out > [Vendor] > Vendor Ledger page view, you can edit certain fields after a bill has already been paid.

·       Brochure Website Option – You can now choose which website address displays on your brochures.  Administrators can navigate to Setup > Customize > Management > Marketing > Brochures and edit the Print Web Address URL.  The following three options will be available:

o   From Company Info setup - This will pull from Setup > Administration Setup > Company Info > Company URL

o   From Sites setup – This will pull from the Sites tab (this is only available for Sites subscribers with at least one active Site.)

o   Other  - A text field will be available and you can type a URL.

 

02/26/11 Propertyware Feature Release

 

The following features will be available in Propertyware on February 26, 2011.

·       Company Name Field – On all reports that include vendor information, a Company Name column can now be added that will pull from the Company Name listed on the vendor.  You will also still be able to add the Vendor Name column.

·       Deactivated Portfolios / Buildings– On Property reports---Building, Portfolio, Target Rent Changes, and Unit reports, you will be able to view deactivated portfolios and buildings.   Portfolio and building deactivations will be identifiable in anew column.  If the either is deactivated, the portfolio or building name will be displayed in italics.

·       Maintenance User Alerts – New fields have been added to the New Service Request and Work Order Created user alerts.

·       Alternate Email Address – You can store alternate email addresses on both tenant and owner contacts.  The additional addresses will need to be separated by a semicolon.

Once the alternate email addresses are entered, you can choose to copy all alternate email addresses when emailing that client through Propertyware.  This will copy the alternate email address every time an email function is used in Propertyware (e.g. mail merge, reports, standard emails).

·       Override Owner Contact Preferences – You can set preferences on the owner contact in Propertyware that allows you to choose a preferred method of delivery for owner statements.

You can choose to ignore these settings when running an owner statement through the Report tab in Propertyware.  This will allow you to print/email reports from the Reports tab regardless of preference.

Important

Ignoring these settings in the Reports tab will not impact how these statements are prepared when using the Post all Owner Draws workflow.

 

·       Undeposited Funds – Undeposited funds can now be added to the Bank Balance Breakdown report.  This will make it easier to locate and deposit funds that had not previously been attached to a bank account.

·       New Filter on Managers Commission Extended Report – You can choose to hide/show $0 portfolios on the Manager’s Commission Extended Report.

·       New ability to view details on Money Out - Checks Report – A new filter option will allow you to see the split line details of checks.

02/11/11 – Propertyware Feature Release

 

The following features will be available in Propertyware beginning, February 11, 2011.

·         Reference Number on Bank Ledger – The transaction reference number has been added to the Bank Ledger.

·         Owner Notifications – Owner notifications (Setup > Customize > Alerts > Owner Notifications) will now display in categories of “Maintenance,” “Lease” and “Business,” to help locate individual alerts in the list.  In addition, a new column has been added that displays the user-defined “Description” details about the notification.  For long descriptions, a mouse-over hover will display the full text.

·         Mail Merge Site URL – All website URL links for sites that are configured through Propertyware’s Sites module will now be an available field in Mail Merge.  They will be listed as Site 1 [Name] URL, Site 2 [Name] URL, etc. in the “Company Fields” section.

·         Reference Numbers – Administrators can now choose whether or not they want to require reference numbers on tenant payments.  All accounts will default to “Yes”, but if you do not want to require them, you can mark the Require Ref# on Tenant Payments field to “No” by navigating to Setup > Administration Setup > Accounting Preference and clicking the Edit button.

·         User Profile Permissions – Administrators can now customize the following user profile permission by navigating to Setup > Administration Setup > Manage Users > User Profiles:

o    Maintenance

§  Edit Work Orders

§  Delete Work Orders and Attachments

o    Leases

§  Delete Lease

 

·         Failed Alerts – You can now choose whether or not you want Administrators notified when the delivery of an alert fails.  Propertyware will attempt to deliver the alert using the designated recipients (i.e. Property Manager, Leasing Agent, etc).  If it is unable to deliver the alert, it will look at the Email Failure setting to determine whether it should ignore the alert or send the alert to all Administrators.

·         Single Unit Brochures – Single unit brochures will now have the company URL listed just below the company details.

·         Post all Owner Draws – Publish/Attach Statement – When using the Post all Owner Draws workflow, you will now have the option to publish the owner statement to the portal and attach the statement to the Management tab when you click the Email Statements or Print Statements buttons.  A new Publish to Portal dropdown has been added to the email and print pop- up windows.


02-04-11 – Propertyware Features Release

The following features/enhancements will be available in Propertyware beginning February 4, 2011.

·         Reporting Updates:

·         Retained Earnings Update – An email communication went out to all Administrators that discussed changes made to how Propertyware reports Retained Earnings.  Click here to read more about those changes.

     Balance Sheet Standard and Cash Flow - The Ending Cash Balance on the Cash Flow has been a calculation of the Balance Sheet bank account balances (+) undeposited funds (-) escrow account balances.   To provide an easier comparison of the cash balance on the two reports, we have taken the following steps:  

§  On the Cash Flow (standard and detail) the Beginning Cash Balance will continue to be calculated as it is now, which excludes escrow balances.

§  The “Ending Cash Balance” title has been changed to “Ending Cash Balance Excluding Escrow Accounts”.

§  After that, a new row, “Escrow Balance as of xx/xx/xxxx” will display the balance of escrow accounts as of the end date on the cash flow report. It will match the balance sheet total for escrows as of the same date.

§  After that, a new row, ”Ending Cash Balance” will display the “Ending Cash Balance Excluding Escrow Accounts” PLUS the “Escrow Balance as of xx/xx/xxxx.” This will match the balance sheet sum of all bank accounts when all deposits are closed.  (Or will match bank accounts plus undeposited funds.)

§  The next month’s beginning balance will be the prior month’s ending balance of the “Ending Cash Balance Excluding Escrow Accounts” row.

·         Balance Sheet – Retained earnings on the balance sheet will report up to the fiscal start date of the date/period being reported.

 

§  Retained Earnings = Prior year(s) accumulated net income

§  Current Year Net Income = Income Statement Standard net income for current fiscal year

·         Balance Sheet Detail – The Balance Sheet Details will show net income for the current fiscal year.  If the current fiscal year and the start date of the report match, you will just see the Net Income for [date range].  If they do not match, a second line “Net Income for Period” will be added that corresponds to the date of the report.

·         Balance Sheet Consolidated Print Option – A “Consolidated” checkbox option is now available on the Filters tab of the Balance Sheet.   If this checkbox is not selected, you will be able to see individual reports for each selected Portfolio owner or Building with necessary page breaks, making obtaining individual report data a much more efficient process.

·         Accrual Option for General Ledger – You can choose an accrual view on the General Ledger report.  Click the Columns tab and select the Accrual checkbox.

·         Trial Balance Improvements –

§  Added “Hide $0 rows” on the Filters tab.

§  Provided options to remove Acct # and Acct Name on the column tab.

§  Changed to Portrait Layout for better visibility.

·         User Profile Permission – You can now set permission on a user profile to allow/prevent the user from generating owner and vendor 1099s.

When the "Generate 1099s" box is unchecked, users in the Money Out or Management views:

o     Will not see the link to Print Vendor 1099s

o     Will not see the link to Print Vendor 1096

o     Will not see the link to Print Owner 1099s

o     Will not see the link to Print Owner 1096

o     Will not have access to Finance Reports, "Owner 1099s" and "Vendor 1099s"

 

·         Updates to Post all Owner Draws – The Post all Owner Draws related activity in Management has been updated to include the following functions to improve efficiency in the process:

The statements will appear as a printable PDF.  The user will remain on the same page and can print the statements from the pop up.  They will be filtered based on the delivery preferences set on the Contact.

A pop up window will display that asks what date you want the statements to display:

Last Statement Date Thru Today – Looks at the last statement date column and creates a custom date range beginning the date set in that column and ending today.

Or

Custom Period – Standard date options (this month, last month, custom, etc.) 

The first time you use last statement date through today, the last statement date will be the date of the last draw.  If there was never a draw, it will say unknown and default to this month.

 

Print Envelopes button

This will create a printable PDF of envelopes that match the list of printed statements.  This will also open in a pop-up window on the Owner Draw page.

Print Checks button.

This will create a printable PDF pop-up that keeps the user on the Owner Draw page.  You can print the checks right from there.  All of the owners marked with “Check” as their payment method will display as part of the PDF.

Email Statements button.

You will be directed to the Reports tab > Owner Statement.  The email tab will have a filtered list that is also based on the delivery preference set on the Contact.

A window will pop up on the screen and allow you to email all owners that have Email Statement option selected as “Yes” on the contact.  Then set the following options for the email:

·         Statement Date - You can choose to send the statement using the “Last Statement date through today” or a custom date range. 

·         Attachment File Format – Excel or PDF

·         From – Email address listed in the “From” field on the email.

·         CC and BCC – You can copy or blind copy someone on the email.

·         Message – This should be generic as all owners will see it.

Mark Statement Sent button.

To send statements using the last statement date, this should always be the last step.  If this is done first, the statements being printed/emailed will have a statement with a beginning date of today.

The Last Statement Date will be updated (although, not visibly on the page) to today’s date.  Next time you print statements, Propertyware will use the date set when you last clicked Mark Statement Sent as the statement beginning date for the “Last Statement Date thru Today” option.

 

·         Late Fee Calculator Date Option – When the Late Fee Calculator is used to update a prior late fee, the tenant ledger transaction date and associated Comments on the Late Fee Calculator will now be user-controlled by means of a selection in Administration Setup>Accounting Preferences.  The new option is called, “Update Late Fee Charge Date when Updating Amount.”  Options are:

o    Yes – Will update the tenant late fee amount and in addition, will update the charge date to today’s date.

o    No – Will update the amount, but maintain the original late fee charge date. 

·         Transaction Details on the Owner Statement Simple – For clients that use continuously calculated management fee mode, you can share additional details on the owner statement simple including a breakdown of the management fee calculations and a more detailed breakdown of income.  To make these details available, navigate to the Columns tab on the Owner Statement Simple and click the Show Transaction Details checkbox. 

Important:  If you use the management fee calculator please check with our Support team or your account representative before switching to continuously calculated.

·          Record Payment Option – You can record payments from the Money In tab, Tenant Payments page view.  To initiate the process, click the Record Payment button.  The Record Payment window will appear.  This window will function similar to the Record Payment window on the Lease Ledger, but will include a tenant search field and will default to assume full payment of outstanding charges to save keystrokes during payment entry .

·         Enterprise Featured Listing Widget -   Enterprise customers will be able to include Featured For Sale and Featured Rental Listings in their listing sites.

                         

01-28-11 Propertyware Feature Release

Beginning, January 28, 2011, the following features are/will be available: 

·         Tenant Search (Quick Collect) – When entering a tenant’s name in the Tenant Search field in Quick Collect, Propertyware will launch an auto-complete dropdown that will display all tenants that match the entered search criteria.  As you continue to type the list will continue to filter.  For efficiency, you can use your arrow key on the keyboard to highlight the correct tenant in the list and use the Enter key to select.   Alternately, you could type in the search criteria and press Enter to have a full list of results displayed in the Quick Collect grid.

·         Petty Cash Deposits – You can choose petty cash as the bank account for new deposits and as a filter for the view of items in the list.

·         Report Update:  Income Statement Standard by Month – When customizing this report from the Columns tab, a new checkbox has been added that allows you to hide pass-through accounts.  Keep in mind that this is only applicable if the pass-through account has a zero balance on the report.

·         Envelopes for Mail Merge Documents - When creating mail merge documents, you will now have the ability to print envelopes directly from the Mail Merge page.  For Lease mail merge, the envelope will use the tenant contact address.  For Contact mail merge, the contact address will be used. For Owner/Portfolio Mail Merge, the owner contact address will be used.  The print order for the envelope will follow the same print order of the mail merge docs.

·         Report Update:  Income Statement Standard – A consolidated checkbox has been added to the Filters tab on this report.  If this checkbox is not selected, you will be able to see individual reports for each selected Portfolio owner or Building with necessary page breaks, making obtaining individual report data a much more efficient process. 

·         Spouse Checkbox on Online Application – An “Is Primary Contact Spouse?” checkbox has been added to the Other Applicants and Household Members section of the online application.  This provides necessary data for accurate billing of screening services.

·         Upload Bank Statement – When reconciling, you will now be able to upload your bank statement directly to Propertyware.  When you navigate to Banking > Reconcile and you are working on a reconciliation, a new Upload Bank Statement button has been added to the Reconciliation screen.  Click here to review the new Help! topic.

·         Conversation User Alerts – You can now activate/deactivate conversation user alerts by navigating to Setup > Customize > Alerts > User Alerts.

01-18-11 Propertyware Feature Release

  • Email/Print Owner Statement Preferences - You can now set email/print statement preferences on the owner's contact.  These settings will be used when using the Posting All Owner Draws workflow  in Management.  Click here to learn more.
  • Setting Margins on 1099s – When the vendor/owner print 1099 button is clicked a setup window will appear that allows you to:

  • Vendor 1099s Payer Settings – Administrators can now control the payer for vendor’s 1099s.  Currently, Propertyware defaults to management company but with the new release, Administrators will be able to switch that to Portfolio by navigating to Setup > Administration Setup > Accounting Preferences.  When the “Portfolio” option is selected, the Payer's name, address and tax ID that is entered on the 1099 form will be the portfolio (owner) information.  If there is more than one portfolio owner, the owner on the portfolio with the greatest ownership percentage will appear on the 1099.  If there is an equal percentage of ownership, Propertyware will use the first owner in the list.  If you choose the “Portfolio” option, vendors who have done work for more than one owner, will have more than one 1099 available.

01-14-11 – Propertyware Feature Release

Beginning, January 14, 2011, the following features/updates will be available in Propertyware:

·         1099 Filing Updates

o    Vendor Name - The vendor name in the Money Out tab will now accept the ampersand (&).  This is in line with acceptable symbols for IRS eFiling of 1099s.

o    Default Year - In an effort to anticipate and display the most relevant data, the default year on the Print Owner 1099 and Print Vendor 1099 screen will default to the prior year until September and then will default to current year.

o    Reports - Owner and Vendor 1099 reports will display the Payee name in a separate column.  This field can contain either the tax payer name or the vendor/owner name.

·         Income Statement Unit Comparison – This new financial report can be found by clicking the New Report button and selecting the “Financial Statement” category.  It allows you to compare unit income and expense by showing the GL totals for each unit side by side. 

·         Batch Generate CRPs  (Minnesota/Wisconsin Leases Only) – The 2010 tax form is now available when batch generating CRPs.
