Journal Entries (Portfolios)

Propertyware allows you to record Journal Entries within your Portfolios. Journal Entries allow you to transfer monies between bank accounts, as well as between income and liability accounts, and other types of financial transactions. Note that transferring funds within a Portfolio from one Bank Account to another Bank Account will not reduce the Portfolio Balance, since the Portfolio Balance is the sum of all the funds being held on behalf of that Portfolio as distributed across various bank accounts.

To Record a New Journal Entry on a Portfolio:

  1. Click Management.
  2. Using the Portfolio drop-down menu, choose the Portfolio for which you want to create the Journal Entry.
  3. Click the Owner Ledger subtab.
  4. At the bottom of the subtab, click New Journal Entry.
  5. In the table that appears, fill out the following information:

Field Name

Description

Owner

Choose the Owner to whom the Journal Entry applies. Note that if you have no Owner attached to a Portfolio, you cannot create a Journal Entry.

Date

Choose the Date of the Journal Entry.

Ref

Enter a Reference Number if applicable, for the Journal Entry.

Comments

Enter any applicable comments for the Journal Entry.

Account

Choose the account from which to DEBIT the funds and enter the amount into the Debit field.

Account

Choose the account to CREDIT the funds and enter the amount into the Credit field.

  1. Click Save when you are finished.
  2. The Journal Entry will appear in the list of transactions within the Owner Ledger subtab.

To Edit an Existing Journal Entry on a Portfolio:

  1. Click Management.
  2. Using the Portfolio drop-down menu, choose the Portfolio for which you want to edit the Journal Entry.
  3. Click the Owner Ledger subtab.
  4. Locate the Journal Entry you want to edit within the list of transactions on the Owner Ledger. You can sort by Type by clicking the header in the Type column.
  5. In the table that appears, edit any the following information:

Field Name

Description

Owner

Edit the Owner to whom the Journal Entry applies. Note that if you have no Owner attached to a Portfolio, you cannot create a Journal Entry.

Date

Edit the Date of the Journal Entry.

Ref

Edit the Reference Number if applicable, for the Journal Entry.

Comments

Edit any applicable comments for the Journal Entry.

Account

Edit the account from which to DEBIT the funds and enter the amount into the Debit field. Click Del in the Action column to delete this line item.

Account

Edit the account to CREDIT the funds and enter the amount into the Credit field. Click Del in the Action column to delete this line item.

New Split

Click this button to add an additional line item to the Journal Entry.

  1. Click Save when you are finished.
  2. The Journal Entry will appear in the list of transactions within the Owner Ledger subtab.

To Delete an Existing Journal Entry from a Portfolio:

  1. Click Management.
  2. Using the Portfolio drop-down menu, choose the Portfolio for which you want to create the Journal Entry.
  3. Click the Owner Ledger subtab.
  4. Locate the Journal Entry you want to delete within the list of transactions on the Owner Ledger. You can sort by Type by clicking the header in the Type column.
  5. Click Del in the Action Column; click Ok in the confirmation box that appears.
  6. The Journal Entry will be deleted from the Action column.
