Propertyware offers a data import service to help migrate your information from many popular property management solutions by using our data import workbook. This process entails either entering the data into the spreadsheet manually or copying the data into the spreadsheet from another report into the appropriate columns on the spreadsheet. If you manage a large number of buildings and leases, importing your data will save you considerable time and effort. If you only manage a few buildings, it may be easier to manually enter this information.
You can contact your Propertyware account executive at sales@propertyware.com to learn more about our data import services. Once you purchase the service, Customer Support will contact you and send the spreadsheet to your Propertyware Administrator.
How does the spreadsheet work?
Each row in the spreadsheet can be thought of as a unit and its lease, while each column represents the available data fields. If the lease fields are left blank, a vacant building or unit will be created. The tenant, portfolio, and building or unit the lease is associated with are automatically created upon import. To preserve the integrity of the import, please do not change the name of the column headers in this spreadsheet.

Portfolios |
A Portfolio is a folder system that organizes your Buildings and Units by property owner. Portfolios should be named after your companies DBA name, with a separate portfolio for each individual tax payer ID number. |

Owner Contacts |
Propertyware allows you to set up Owner Contacts, also known as the property owners of the Buildings and Units you manage, for each Portfolio created within your account. |

Buildings |
In Propertyware, a Building is a structure that may or may not have Units. Building in Propertyware and may have one lease attached to it. To this extent, a Rentable Building is treated like an individual Unit. A Building with Units (i.e., an apartment building) is considered a Multi-Unit Building in Propertyware where leases are attached directly to the individual Units themselves rather than the Building. |

Units |
In Propertyware, a Unit is a division of a Building which may be rented. Units may be identified throughout the application by a blue building icon with a single red door. Units have several attributes, such as Unit Type and amenities, which allow users to differentiate one Unit from another. Propertyware also allows you to upload a photo to a Unit for identification and marketing purposes. |

Leases |
In Propertyware, a Lease represents the contract between landlord and tenant, home owner or any customer. A Lease contains the terms of the contract, any payments and charges, tenant contact information, and the details of the property the tenant is occupying. |
Can I import custom fields using the MS Excel import workbook?
Yes. The import workbook includes instructions for how to create custom fields and populate them during the import.
Can I import some data and enter some data manually?
If you choose to import your data for a given portfolio, you should not enter any information into your Propertyware account manually.
What do I do once I've completed the spreadsheet?
Send your completed spreadsheet back to Propertyware at support@propertyware.com. We will import the data into your account and contact you when the process is complete.
