Can I retroactively record a Terminated Lease?

You may record a lease retroactively in Propertyware, once terminated and even if in default, by following these steps: 

  1. Create a Lease for your tenant, with a lease Status of Active. This status is only temporary.
  2. Once you Save the lease, a pop-up window will display prompting you to Move In the tenant.
  3. From the Move In window, complete the required fields, as relevant, and backdate the Move In Date to when the tenant moved in.
  4. Create a One-Time Charge for the unpaid charges on the lease, by either:

      • Creating a single One-Time Charge, to appear as an aggregate opening balance on the lease, while backdating the charge date to the lease expiration date, OR
      • Creating multiple One-Time Charges to reflect the actual breakdown of monthly rent charges, utility charges, etc., with charge dates that are respectively backdated.

    5. Then click the Record Payment Received button, either to:

  • Record the tenant payments that were in fact paid during the lease term, either as a lump sum (if you create a single One-Time Charge in step 3) OR as multiple payments (if you created multiple One-Time Charges in step 3).
  • If you received a check from a Collections agency for any remaining balance owed by the defaulting tenant, simply record the check payment and enter a Comment noting that the payment was received from Collections.
  • If you receive payment for the unpaid charges, simply Record a Tenant Payment.

   6. Then click the Move Out button. Do not calculate the Security Deposit Interest or Refund, and click Save. The page will refresh to display your terminated lease, with a Balance and Total Unpaid amount of $0. The result: clean bookkeeping and accounting results.
