To edit a Building in Propertyware:
- Click the Properties Tab from any page of the application.
- Select a Building you wish to edit from the Property Navigator menu on the left side bar. Use the "View By" Filter to refine the Property Navigator menu by Building. The menu will then refresh to display your Buildings, each identifiable by a blue building icon. Once you add Units to a Building, a plus sign will appear next to the building icon which you may click on for a submenu of Units within that Building. Units, identifiable by a blue building icon with a single red door, should not be mistaken for Buildings.
- As an alternative to Step 2, you may search for the desired Building by name using the Search Bar located at the top left corner of the page and clicking Go. From your search results, click on the appropriate Building link from within the Properties selection window.
- Then, from the Building Summary Page for your selected Building, click the Edit button and edit entries in any of the following fields:
| Multi-Unit Building |
Note: When editing a building, a multi-unit building may not be changed to a rentable building. From the drop down menu, select "Yes" if the Building contains 2 or more units, which is considered a Multi-Unit Building. Select "No" if the Building contains no units, which is considered a single Rentable Building. In Propertyware, a Rentable Building (i.e., a single family home) may have one lease attached to it, whereas with a Multi-Unit Building (i.e., an apartment building), leases are attached directly to the individual units themselves rather than the Building. | ||||||||||||
| Portfolio | Displays the portfolio that the building is attached to. A building's associated portfolio may not be modified. | ||||||||||||
| Building Type |
From the drop down menu, select a Building Type which will display on Propertyware Reports and the Building's Summary Page. To create a Building Type not displayed within the drop down menu, click the New button. | ||||||||||||
| Building Name / Number |
Enter a name for your Building (i.e., the building's street name or if a multi-building, the name of the complex). Up to 100 characters are allowed in this field. | ||||||||||||
| Building Abbreviation |
Enter an abbreviation to the Building name. The application will automatically generate an abbreviation, taking the first 10 characters of the Building Name, which you may override. Up to 10 characters are allowed in this field. | ||||||||||||
| Total Area |
Enter the total area of the Building, either in square feet or square meters by toggling the drop down menu. If you selected "No" in the Multi-Unit Building field above, indicating that the Building is a single Rentable Building, the field entry you insert here will appear on your Propertyware website when marketing the Rentable Building for rent. Up to 10 characters and 2 decimal points are allowed in this field. | ||||||||||||
| Number of Floors |
Enter the number of floors in the Building. Any integer is allowed in this field. | ||||||||||||

Ready to Lease
(Rentable Buildings Only) |
Select "Ready" or "Not Ready" to indicate whether Property Managers can lease this building (Rentable Buildings only). | ||||||||||||
| Neighborhood |
Enter the neighborhood or district where the Building is located. This field entry will post on your Propertyware Website when marketing vacancies within the Building. Up to 30 characters are allowed in this field. | ||||||||||||
| Address |
Enter the address of the Building. For longer addresses, carry over the address in the Address (Cont.) field which provides surplus space for entry. Up to 100 characters are allowed in each of these fields. | ||||||||||||
| City |
Enter the city portion of the Building address. Up to 30 characters are allowed in this field. | ||||||||||||
| State |
Enter the state or province portion of the Building address. Up to 20 characters are allowed in this field. | ||||||||||||
| Zip |
Enter the zip code of postal code portion of the Building address. Up to 20 characters are allowed in this field. | ||||||||||||
| Country |
Enter the country portion of the Building address. Up to 30 characters are allowed in this field. | ||||||||||||
| Custom Fields |
Enter values for any Customer Fields that you have created, or click the New Custom Field button to set up a new field. | ||||||||||||
| Amenities |
From the selection window, select the checkboxes next to the amenities available in the Building. To add an amenity not included within the selection window, click the Add Amenity button right corner of the page. The amenities you select here will appear on your Propertyware Website when marketing vacancies within the Building | ||||||||||||
| Management Team |
From the selection window, select the roles responsible for managing any associated tasks within the Building. The options will be Property Manager, Leasing Agent, or Maintenance Manager. The team member will receive an email advising that they have been added to support that building in Propertyware.The property manager designated here will appear as the leasing contract for the Building, displayed by name, telephone number and email, on your Propertyware website. When a prospective tenant submits an Online Guest Card from a rental listing on your website, an email notification will be automatically delivered to the Building's property manager. If the relevant property manager does nor appear as an option within the selection window, click on the New Property Manager button to create the contact. What happens if I don't designate a Property Manager for the Building? For purposes of designating a leasing contact on your Propertyware website and delivering your team prospective tenant inquiries vie the Online Guest Card, the application will (by default) assign and deliver these inquiries to the property manager assigned to the building's respective Portfolio. | ||||||||||||

If you subscribe to Propertyware's Marketing Module, you may modify the following Marketing Information:

| Maintenance Settings | Set a Maintenance Spending Limit on the Building, either monthly or yearly, for maintenance bills created by work orders. Toggle the drop down menu to either "no limit," "monthly limit," or "yearly limit." If you select a monthly or yearly limit, then enter a spending limit amount within the pop-up window. Based on the amount entered, the application will calculate how much of the spending limit has been spent on maintenance and display it on all new work orders created for the Building. You can also add a maintenance notice that will also be available each time a work order is created against that building. This can be used tracked known issues on buildings and alert employees of possible solutions. |
- Once you have completed entries in the above fields, click the Save button and the edited Building Summary Page for your Building will then display.
- From the bottom table on the Building Summary Page, you may then attach Insurance or Mortgage information, and any Notes (i.e., notes memorializing the location of emergency shut-off valves or water heaters within the Building) or Documents (i.e., floor plans, drawing files or any other documents limited to a file size of 12 megabytes each) to your Building. You may also view the Valuation of the Building provided by Zillow.com and a history of all Attached Leases.
