To create a New Prospect:
- Click the Marketing tab, located at the top of any screen in Propertyware.
- In the Marketing sidebar, click the Prospects sub-tab. This will take you to the Prospects list.
- Click the New Prospect button at the top of the screen. This will take you to the New Prospect form.
- Complete entries in the following fields:

Prospect Type |
Choose the Prospect Type: Tenant, Owner, Buyer or Other. |

Status |
Status of the Prospect can be either Open, Qualified or Unqualified. Incoming Prospects from your Propertyware Portal are by default Open, indicating that they have not been contacted or qualified by your team. |

Desired Location |
Press the Attach Location button, then perform a Global Search of Propertyware to find the Building or Unit the Prospect is interested in. Select the property, then click Done. |
|
Reason for Not Converting |
This drop-down menu offers options to record the reason, if applicable, that you did not convert the prospect to a Buyer, Tenant or Owner. |
|
Assigned To |
Select the User to whom you would like to assign the Prospect. This option defaults to Unassigned. |
|
Search Tag |
Enter a word or words you would use to describe this Prospect for search purposes. |
|
Application Fee Paid |
Select Yes or No as applicable. |
|
Application Agreement Accepted |
Select Yes or No as applicable. |
|
CONTACTS |
|

Add or attach New or Existing Contact information via this section of the form. |
|
CUSTOM FIELDS |
|

New Custom Field |
Use this button to create any new field you would like to add to the Prospect form. |

Fill out as applicable. |

Source |
Select from Website, Telephone, Walk-In, Mobile Leasing for the iPad, LeaseStar, or Email. Incoming Prospects from your Propertyware Portal will be set to Website by default. |

Campaign |
Select the Active or Past Campaign that attracted this Prospect, if applicable. |
|
Type of Inquiry |
Select from Application, General Question, Owner Inquiry or Showing. |
|
Keywords |
Enter a word or words you would use to describe the Prospect. |
|
GUEST CARD INFO |
|
|
Unit Type |
The unit type that the Prospect would like to find an available rental. This field shows a dropdown menu of the available options for all the rentals in your Unit Inventory. |

Bedrooms |
The number of desired bedrooms. |
|
Bathrooms |
The number of desired bathrooms. |
|
City |
The desired city that the Prospect would like to find an available rental. This field shows a dropdown menu of the available options for all the rentals in your Unit Inventory. |

State/Province |
Select the state or province in which the Prospect would like to find an available rental. This field shows a drop-down menu for all available rental options in your Unit Inventory. |

Zip/Postal Code |
Select the zip or postal code in which the Prospect would like to find an available rental. This field shows a drop-down menu for all available rental options in your Unit Inventory. |

Neighborhood |
Select the neighborhood in which the Prospect would like to find an available rental. This field shows a drop-down menu for all available rental options in your Unit Inventory. |

Showing Date |
Key in or use the calendar icon to enter the date you showed or will show the rental to this Prospect. |
|
Preferred Contact Method |
Select from the drop-down menu. Choices include Work Phone, Home Phone, Mobile Phone, Other Phone or Email. |
|
Rent Range |
Enter the minimum rent the Prospect has indicated they are willing to pay in the first field, and the maximum rent the Prospect indicated they are willing to pay in the second field. |
|
Desired Move In Date |
Key in or use the calendar icon to enter the date that the Prospect has indicated they would like to move in. |
|
Pets |
Set this option to Yes if the Prospect has indicated that they have a pet. |
|
Comments |
Select the campaign source for how the Prospect heard about your business or rentals. |
|
App Processed Date |
Key in or use the calendar icon to enter the date the Prospects application was processed, if applicable. |
|
CONFIRMED LEASE DETAILS (Tenant Prospects only) |
|
|
Start Date |
The start date of the lease term. Key in or use the calendar icon to enter the date that the Prospect has confirmed they will move in. This start date will be added to a new lease when the Prospect is converted. |
|
End Date |
The end date of the lease term. Key in or use the calendar icon to enter the date that the Prospect has confirmed they will end their tenancy, if applicable. This end date will be added to a new lease when the Prospect is converted. |

Rent |
Set the amount of Rent that you would like to set for the new lease when the Prospect is converted. |
|
Security Deposit |
Set the amount of Security Deposit that you would like to set for the new lease when the Prospect is converted. |
|
OWNER PROPERTY INFO (Owner Prospects only) |
|
|
Number of Properties Managed |
From the drop-down menu, select the number or number range of how many properties this Owner Prospect manages. |
|
Address |
Enter the first line of the mailing address for the property the Owner Prospect is interested in having your company manage. |
|
Address Cont. |
If applicable, enter the second line of the mailing address for the property the Owner Prospect is interested in having your company manage. |
|
City |
Enter the city for the property the Owner Prospect is interested in having your company manage. |
|
State/Province |
Enter the state or province for the property the Owner Prospect is interested in having your company manage. |
|
Zip/Postal Code |
Enter the zip or postal code for the property the Owner Prospect is interested in having your company manage. |
|
County |
Enter the county for the property the Owner Prospect is interested in having your company manage. |
|
Comments |
Enter any miscellaneous notes or comments about the Owner prospect here. |
|
Area |
Enter the numerical total for the area of the property the Owner Prospect is interested in having your company manage. |
|
Area Units |
Select Sq Ft (square feet) or Sq M (square meters) from the drop-down menu. These pertain to the area amount specified in the Area field, above. |

Number of Bedrooms |
Enter the number of bedrooms for the property the Owner Prospect is interested in having your company manage. |
|
Number of Bathrooms |
Enter the number of bathrooms for the property the Owner Prospect is interested in having your company manage. |
|
Occupied Status |
Select Vacant or Occupied from the drop-down menu. |
|
Country |
Enter the country for the property the Owner Prospect is interested in having your company manage. |
- When you are finished entering information for your New Prospect, click Save.
