Viewing A Work Order Summary

 To view a Work Order Summary:

  1. Locate the Work Order by using search, or click the Maintenance tab and use the search filters to locate the correct work order.
  2. Once you have located the appropriate Work Order, click the link that appears in the WO# column.
  3. The summary displays the following information about your Work Order:

Field Name

Description

Location

The building(s) and/or unit(s) attached to the work order.

Requested By

This field will appear if the work order was generated from a service request. This field displays the tenant contact that reported the problem with link to their contact information. To send the tenant contact an email, click the Email button in this field.

Type

The work order Type field classifies the project into one of the following groups:

  • General - Any general repair or maintenance project. Service Requests that have been validated become type General. Alternatively, a Propertyware user may choose this type when creating the work order.
  • Service Request - A request for maintenance that has been submitted by a tenant, usually from your public portal. Once a Propertyware user validates the location and contact, the type will change to "General."
  • Turnover - A maintenance project performed between two leases, to prepare a property for a new tenant.
  • Inspection - A work order used to examine a property for damages or maintenance needs. Inspections may be created one at a time, or scheduled to be generated for a lease on a recurring basis.

Estimated / Actual Cost

This field displays the amount entered in the cost estimate field vs. the sum of all bills attached to this work order.

Managed By

This field displays the user that is responsible for managing this work order.

Start Date

The estimated start date for the work order.

Authorization to Enter

This field indicates if the tenant has granted your management staff access to enter their unit.

Estimated Time (hours)

The expected number of hours to complete the work order.

Date Completed

The dated the work order was marked as closed.

Description

This field displays a description of  the problem.

Required Materials

This field displays the materials required to complete the work order.

Lease

This field displays a link to the leases attached to the primary unit on the work order, if occupied. To view the lease, click the link in this field.

Status

Displays one of the following status categories:

  • Open - The work order has been approved, and is in process.
  • Pending Approval - The work order is awaiting approval before work can begin.
  • Rejected - The work order was created, but was rejected instead of approved.
  • Closed - The work order has been completed and closed.

Category

The work order category field helps your management team categorize the different types of maintenance that they deal with. Use any of the standard categories, or create your own custom categories from the Maintenance Categories page in the Setup area.

Source

This option allows you to designate the source for where the problem was reported. Options include:

  • Telephone
  • In Person
  • Email
  • Website

Age

This field displays the total number of days that have past since the work order was created. The work order will continue to age until it has been closed.

Date Created

This field displays the date the work order was created.

Scheduled End Date

This field displays the date that the work order is scheduled to be completed.

Priority

This field helps you prioritize the work orders. The option is set to Medium by default. Other options include High and Low.

Specific Location

This field displays a description of the location for the work that needs to be done.

Assigned Vendors

The Vendors table displays all the vendors that have been assigned to the work order. Vendors are considered any individual that will work to resolve the reported problem.

Expenses tab

Select this tab to view or create bills from within a work order for work order-related expenses. These bills will also appear in the Money Out tab of the application.

Tasks tab

Select this tab to view, reorder, edit, delete, and create new work order tasks. Work orders tasks are considered the steps required for completing the work order.

Time Tracking

Select this tab to view, add or delete time spent by vendors attached to the work order.

Notes and Documents

Select this tab to view, add or delete notes and documents attached to the work order. Use this section to attach all important work order documents, and create notes to record details about the project. Click the Attach Document button or the Attach Note button to add a note or document to the work order.
