Archived Propertyware Version History – 2009-2010

12-17-10 – Propertyware Feature Release

Beginning, December 17, 2010, Propertyware will be releasing the following features:

Updated Taxpayer Information Fields – In order to ensure proper 1099 filing and reduce the number of potential fines, you have the ability to track more specific taxpayer information on the owner contact and vendor records including:

  • Non – US Address (Country Option)
  •  Include Company Name on 1099 (Yes/No Dropdown)
  • Taxpayer Name (if different from name on contact/vendor

User Account Restrictions – Administrators can now filter the list of Portfolios when setting restrictions by using the Hide Inactives checkbox.  This will allow easier implementation of restriction for active Portfolios.   Navigate to Setup > Administration Setup > Manage Users > User Accounts and click the Set Restrictions link for each user you want to restrict. 

Gender Field on Applications – The gender field will now only be a required field on the online and Propertyware application forms when screening is activated.

 12-10-10 – Propertyware Feature Release

Beginning, December 10, 2010, the following features will be available in Propertyware:

Enterprise Search Feature – An Enterprise Search field is available that allows users to search for data in multiple locations.  The search feature will be restricted to locations that the user can access.  The addition of the search field has shifted the standard user interface (UI) on enterprise accounts.  The setup, support, training and logout links have now shifted to the right sidebar.

Online Applications – When a prospect applies online, they will see specific details about their application fee at the top of the online application. 

The fee details will be pushed to the online application from the ePayment Settings and will be one of three options:

  • ·         No fee
  • ·         Fixed Fee Amount Displayed
  • ·         Fees will be charged based on the number of contacts on the application

Check Templates – The ability to manage check templates is moving from Setup>Accounting Preferences to Setup>Templates>Check Templates.

Invoice Templates –A second invoice template will be available for selection in the Money Out tab.   A new page view has been added that allows you to choose from one of two invoice templates.  The selected invoice template will be available for print when you click the View Invoice button in the bill details window.

Important:The new invoice will only display the building from the first line item in a bill split.  If the bill is split across different buildings, the building listed on the additional line items will not display on the new invoice.  The default invoice will continue to be the current invoice template.

 New Check Feature – You can now add a negative line item on a check split.

Note:A discount account must be selected as the general ledger code in order for a negative amount to be entered.

12-03-10 Propertyware Feature Release

Beginning, December 3, 2010, the following features will be available in Propertyware:

Improved Bank Reconciliation Statement – To provide a better audit trail to reconcile your bank statement with the Propertyware bank ledger, the reconciliation statement has been improved.  New sections on the report will allow you to account for uncleared money in and out in order to arrive at the bank ledger balance. 

When a bank reconciliation has been saved in Propertyware, a dropdown will be available that allows you to view the details.  A statement of transactions will display.  Click the Print View button at the top of the page to view a printable statement of the following transaction types:

1.           Updated: Reconciliation Overview

2.           Cleared Money In

3.           Cleared Money Out

4.           New:  Uncleared Money In and Money Out

 Note:While a bank reconciliation is in progress, the items marked as cleared are not yet permanently stored as cleared items in the database.  Those transactions will be shown as cleared on the reconciliation report but until the reconciliation is finalized and closed, they will also appear on the lists of uncleared items from Banking>Page View>Reconcile>Uncleared Money In/Out.  They will be highlighted to indicate that they are in progress on an open reconciliation. 

Neighborhood Field – A new field has been added to at the building level in Propertyware that allows you to track the neighborhood in which the building is located.  Once set, the neighborhood will display in parenthesis below the building address.  Marking Subscribers:  This will allow neighborhood searches through the Rental and For Sale Listings widget.

Portal Fields in Propertyware – All field titles in the Portal tab, Tenant page view that were recently changed to Resident will revert back to Tenant.  Users will still be able to customize the titles on the Tenant Portal.

Printable Brochures – When you print a brochure in the Marketing tab, a link to your company’s website will now be included in the header, just below the address and phone number.

11/24/10 – Non Tenant Prospects (Marketing Subscribers Only)

Beginning, November 24, 2010, the data options for non-tenant prospects will change.  When a non-tenant prospect type is selected (i.e. buyer, owner, or the custom type“seller”), a modified contact window will appear that does not show tenant specific fields.  The following fields will be excluded:

  • ·         Birthdate
  • ·         Gender
  • ·         SSN
  • ·         Maiden Name
  • ·         Is Primary Contact Spouse?
  • ·         Address Section

Note: If a custom prospect type of “seller” is created the fields available on the prospect will mirror the fields available on an owner prospect.  Tenant specific fields, like the guest card, will not display.

 11-20-10 Propertyware Feature Release

Beginning, November 20, 2010, the following features will be available in Propertyware.

Creating Checks – You can now create stand alone checks in Propertyware. 

QuickBooks Sync Update – The Propertyware / QuickBooks sync will now allow for split transactions on checks. In order to see this new functionality, an update to the sync utility must be installed. Go to Setup>Customize>QuickBooks and click Download the software.  Click Run at the prompt then select the “Repair the Utility” option and click Finish.  Please be aware that until this utility has been updated, vendors created using the New Check functionality will show in QuickBooks as new customers.  

Journal Entry Edits – Propertyware will now allow users to edit journal entries created on the Bank Ledger or the Tenant Ledger. 

ePayment Settings –Administrators can now restrict credit card use to application fees.  A new Only accept credit cards for application fee payments field has been added to the ePayment Settings page. 

ePayment Settings for Application Fees – Administrators now have three options when customizing the application fee settings for ePayments:

  • ·         Do Not Charge an Application Fee
  • ·         Charged Fixed Application Fee
  • ·         Charge Application Fee by Number of Contacts on the Application

Updated Fields on Owner Prospect – Two new fields have been added to the Owner Property Information section of the prospect page. 

  • ·         County – This text field allows you to enter the county in which the property is located. 
  • ·         Occupied Status – This dropdown allows you to track whether the property is vacant or occupied.

Sharing Prospects between Enterprise Locations –You can now share prospects between enterprise locations. 

11-12-10 Propertyware Features Release

Beginning, November 12, 2010, the following features will be available in Propertyware.

Custom Lease Statuses – Administrators can create custom lease statuses by navigating to Setup > Customize > Leases > Statuses and clicking the New Lease Status button.  The New Lease Status window will appear with requirements to complete the name and rent status fields.  An active rent status will show the property as occupied while an inactive rent status will show the property as vacant.  The rent status will drive how properties using the new status are displayed in reports. 

Notice Given Status Update –When a tenant gives notice through the portal, the lease status will change to Active – Notice Given.  The new lease status is still treated as “active” in regard to occupancy and reporting.  The Audit Log report will be updated showing all the actions triggered by the tenant giving notice through the portal.  A total of leases that have given notice will also appear on the Leases tab in the lease totals header.  Clicking the number of leases in the header will filter the results by that status. 

Impact:  This update will impact your lease views.  You will need to create a new view that includes all active leases and/or update your existing views.  The easiest way to do this is to filter by lease statuses that “start with” active.  You will also need to update your filters for reports that are looking for all active leases.

 Sharing Vendors with Child Accounts –From the template account, you can push specific vendors to child locations.  A Push to Enterprise Location button has been added in the Money Out tab, Vendors page view.  Clicking this button will launch a location selector pop-up window.  Click the checkbox next to all child locations and click Save.

11-05-10 – Propertyware Features Release

Beginning November 5, 2010, the following features/updates will be available in Propertyware:

Portal Updates – The tenant portal page view in Propertyware has been renamed to “Resident Portal”.  You can also choose a portal log-in image that uses the term “Resident” instead of “Tenant” to denote the log-in page.

Note:  You will still be able to select from additional log-in page options, including tenant.

Resident Portal Customization Options – You can create custom field titles for the resident portal.  This allows you to enter titles for the portal, headers and tabs that are more closely aligned with your business terminology.  To update the field titles in Propertyware, navigate to the Portals tab, Resident page view, and enter the desired field titles in the “Field Title Definitions” section.  The corresponding titles will be updated on the portal.

Printing Blank Tenant Applications – You can print a blank application from your management company website.  It can be handed to a walk-in or printed by online prospects to complete manually and bring to your office.

Print Completed Application from Prospect – You can print the completed application from the prospect in Propertyware that will include additional applicants.  Navigate to Marketing tab > Prospect page view >[Prospect Name] > Print Application link.

General Ledger Report Updates – In an effort to make Propertyware’s export design more compatible with third party importing options, the following changes have been made to the general ledger reports:

·         New filter options:

o   Ability to hide zero dollar accounts with no activity

o   Ability to hide all summary rows

·         New columns options:

o    Account Name on Detail Row

o   Account Number on Detail Row

HTML 5 Charts Available – Prior to this enhancement, Propertyware’s reporting and dashboard charts were only offered using Flash.  This limited your ability to view the charts on any device that didn’t support Flash, particularly, Apple products.  Now, administrators are in control of the charting engine.  Navigate to Setup > Administration Setup > Company Info > Click Edit, and change the default charting engine. 

·         FusionCharts (Flash)

·         HighCharts (iPhone/iPad Compatible)

Enterprise Accounts Only (Sites) – When a template account with a fully configured site is used to create a child account, the following site specifications will be adopted by the child account:

·         Company Logo

o   Pulled from Setup > Administration Setup > Company Info.

·         Site template, content and navigation options.

o   Pulled from the existing website design and pages.

 

11/3/10 – Propertyware Feature Release

Beginning November 3, 2010, the following feature will be available in Propertyware:

Enterprise Accounts Only – Enterprise clients can now push notes and documents from the template account to child accounts.  Here are the steps:

1.             From the template account, navigate to the Desktop tab.

2.             Click the Notes & Documents page view.

3.             Click the Push Notes to Enterprise Locations and/or Push Documents to Enterprise Locations buttons.

4.             Select enterprise locations that will receive the notes and/or documents.

 

10/29/10 - Propertyware Feature Release

Beginning October 29, 2010, Propertyware will be releasing the following features:

Address Search (Marketing Subscribers Only) – When a prospect accesses the rental listings widget, they will now be able to search for available listings using street, city & state or zip code.

Budgeting Hover Feature - Due to the amount of data available through the budgeting feature, the headers on both axes are not always available when reviewing or updating data.  Now, when you mouse over a budget cell, the hover feature will automatically display the row and column headers.  The pop up will display [month - year] / [general ledger account # - description] / [budget amount].

 

10/27/10 - Propertyware Feature Release

Beginning, October 27, 2010, the following features/enhancements will be available in Propertyware:

Target Rent Frequency Available on Rental Listings – The target rent frequency, added to the target rent field on the building or unit, will display on all properties published through the rental listing widget.

Year Built Field Added to Buildings – A “Year Built” field has been added to all buildings.  When set, this field will display on all properties published through the for sale listing widgets. 

Update to Balance Sheet Standard and Detail – The Balance Sheet Standard and Detail reports have been updated so the account name and account number fields are displayed in separate columns.   This will allow for easy sorting.

Both reports will have Account Name and Account Number as optional columns.  The Balance Sheet Detail report will also have Account Name on Details Row and Account Number on Details Row as optional columns.

10/22/10 - Propertyware Feature Release

Beginning October 22, 2010, the following features will be available in Propertyware:

Auto ePayments Frequency – When a tenant sets up automatic ePayments through their portal, they will be able to set the frequency of that payment.  They can select weekly, monthly or yearly.  This option will also be available in Propertyware when setting up auto ePayments for the tenant.

Owner Portal Permissions – You can now restrict owners from viewing specific details associated with work orders.  The following permissions have been added to the Portals tab, Owners page view.

·         View Work Order Details

·         View Work Order Bills

·         View Work Order Documents

·         View Work Order Building Details

·         View Building Documents

·          View Work Order Comments

If owners are granted permission to view work orders, Propertyware will look to these settings to determine which work order details to display on the owner’s portal.

10/20/10 - Propertyware Feature Release

Beginning October 20, 2010, the following features will be available in Propertyware:

Alert Logo – You can now manage the company logo that appears on all of your alerts.  You can manage the logo by navigating to Setup> Customize > Alerts > Settings, and uploading a logo that’s size is proportionate to the alerts template.

Important:  If you do not add an alerts logo, all alerts will pull the logo you have stored in Setup > Administration Setup > Company Information, which may be disproportionately sized compared to the alerts template.

Number of Auto-Bills Column on Portfolio Reports – Portfolio reports, within the Property Reports category, now offer an optional “Number of Auto-Bills” column.  This column will display the total number of auto-bills created for the portfolio referenced.  To add this column to a portfolio report, click the Columns tab and select the check mark next to the Number of Auto Bills option.

Target Rent Frequency – A new dropdown has been added on each building/unit that allows you to choose the frequency of the target rent (i.e. month, week, etc.).  For users that subscribe to the Sites and Marketing services, the target rent frequency will carry over to your rental listings.  This field will default to $/month.  To change this setting, navigate to the Properties tab, locate the building/unit for which you would like to update the target rent frequency and click the Edit button.  Locate the Target Rent field.  The new dropdown will be located to the right of the target rent.

10/15/10 - Propertyware Feature Release

Beginning October 15, 2010, the following features will be available in Propertyware:

Rent Increase Report – A new report has been created that will display the rent increase history for all leases.  Along with standard lease details, the report will show the date of the last increase, the current rent, the change in dollars, and the change in percent.  This report can be created in the Reports tab by clicking the New Report button, selecting Lease Reports, and choosing the Rent Increase Report.

Billing History Updated – Propertyware’s Billing History has been updated to make locating and tracking your payment history with Propertyware even easier.  You can now print the billing history table and print a standard invoice.  Navigate to Setup > Billing > Billing History to view these changes.

10/13/10 - Propertyware Feature Release

Propertyware will be releasing the following features/enhancements beginning, October 13, 2010.

New Profile Permission – A new user profile permission has been added that controls who may create a bill against a work order.   You can update user profiles by navigating to Setup > Administration Setup > Manage Users > User Profiles and clicking Edit link next to the profile.  The new permission is available in the Maintenance section.

New Journal Entry Button – A New Journal Entry button has been added to the Lease Ledger page view.

10/08/10 - Propertyware Feature Release

Propertyware will be releasing the following features/enhancements beginning, October 8, 2010.

New Column in Property Reports – Property reports that contain building address information will now have “County” or “Building County” as an optional column.  The column can be added by selecting the Columns tab and clicking the applicable checkbox.

User Permissions –New user profile permissions have been added that control who may perform certain tasks associated with the owner and tenant portals.  Administrators can update user profiles by navigating to Setup > Administration Setup > Manage Users > User Profiles and clicking the Edit link next to the profile.  The new permissions are available in the Portals section.  You can control a user’s ability to publish documents to the portal, enable portal log-ins, and reset portal passwords.

Printed Reports – The font size has been increased on all printed reports from 6pt to 10pt.

Change Email/Password Option on Portals – The Change Email/Password link has been moved to the home page on both the owner and tenant portals.  This should make it easier for owners and tenants to locate and update their information.

10/06/10 - Propertyware Feature Release

Propertyware will be releasing the following features/enhancements beginning, October 6, 2010.

Owner Portal Settings – You can now control an owner’s ability to edit his or her banking information on the owner portal.  The default setting, “Yes”, will allow owners to edit his or her bank information and his or her draw method (check or eCheck).  Selecting “No” will prevent both actions on the portal. 

Expanded Search Capabilities – When searching for tenants using the Money Out tab, Quick Collect page view, the search feature has been expanded to include first name, last name or first and last name for any tenant contact.

10/01/10 - Propertyware Feature Release

Beginning October 1, 2010, Propertyware is releasing the following features:

Profile Permissions -  View Unassigned Owner Prospects – A new user profile permission has been added that controls who may view open, unassigned owner prospects.  Click here to view the process for adding/updating user profiles.

Total Row on Journal Entries – Propertyware will now sum up all debits and credits created on a single journal entry.   

Alert Messages – A new, sleeker alert template will now be used for all owner and tenant notifications.

Enterprise Accounts Feature - A new option will be added for each organization that will allow enterprise customers to more closely manage the units that are published through Marketing.  The “Publish Partner Listings” option will be used to select which listings will be visible on any of the organization’s websites.  This will provide a way to show the listings of multiple partners on each other’s websites. 

09/24/10 - Tenant Screening powered by Leasing Desk

Propertyware has released its most powerful screening product to date, Tenant Screening powered by Leasing Desk.   With the release of that product, there will be some changes made the following areas of the application.  These changes will affect all users in these areas, whether you’re using the new screening integration or not.

1.       Marketing – The way  a prospect is created and saved in Propertyware will be changing to allow for the capture of all contacts in the household, as well as additional information that will improve the screening process.   Click here to learn more.

2.       Sites – The online tenant application is being updated to allow for more control and details for users.  This will allow you capture the information that is important to you, and your screening solution.  Click here to learn more.

3.       Credit Retriever Update – The current Credit Retriever screening solution will now automatically screen multiple applicants and    guarantors  in a household.

09/16/10 Mobile Leasing App for iPad Users

09/08/10 Owner Statement Simple and Budgeting Report Filter

Propertyware has released a new owner statement and a filter for budgeting reports beginning September 8, 2010.

Owner Statement Simple – A simplified owner statement that fits nicely into a windowed envelope. 

Budgeting Report Filter – A filter created to limit zero dollar budgets from displaying on the report. 

09/01/10 Marketing:  Posting to Craigslist

Beginning, September 1, 2010, Marketing subscribers will be required to log-in into their Craislist account before publishing listings to Craigslist. 

08/27/10 New Feature Release

The following features/enhancements will be released to clients beginning August 27, 2010. 

Property Manager Filter on Income Statements – Previously, income statements could only be filtered by portfolio or building.  You will now be able to filter these reports by property manager.

New Report:  Income Statement Portfolio Comparison – You can add this report by clicking the New Report button at the top of the Reports tab.  To locate the report, choose the Financial Statements category from the “Report Category” dropdown.  This report allows you to run a current month and YTD comparison by general ledger code for all of the selected portfolios.

Owner Prospects Property Information Available on Mail Merge – When creating an owner prospect Propertyware currently offers the capability to add the owner property information.  This information will now be available to add to prospect mail merges.  Note:  A marketing subscription is required for this feature.

08/25/10 New Feature Release

 The following features/enhancements have been released beginning August 25, 2010.

Owner Information Updated Alert – If an owner updates his or her information via the Owner Portal, you can set up a user alert to be delivered to any of your Propertyware users. To activate this alert, navigate to Setup > Customize > Alerts > User Alerts > Owner Portal Alerts.

User Profile Updates – You can now modify user profiles to prevent or allow report publishing and scheduling. In the past, these features were reserved for users with Admin access only. To update your user profiles, navigate to Setup > Administration Setup > Manage Users > User Profiles, and edit the profile.

Occupancy Percentage Column Available on some Property Reports– When running the Buildings or Portfolios Property reports, the Columns tab will include the option to view occupancy percentages.

New Look for Owner Alerts– Owner alerts will now have a new, cleaner look. Test out an alert by navigating to Setup > Customize > Alerts > Owner Notifications.

Start Date added to Work Order Global Search – When searching for Work Orders using the Global Search feature, the Start Date will be available in the results.

 08/19/10 New Feature Release

Propertyware released  a number of new and exciting features/enhancements including:

Propertyware now allows you to add floor plans and videos to your properties! 

Get the most out of your financial statement research by clicking through transactions to locate the source. 

Propertyware put safeguards in place to prevent auto-bills for deactivated vendors. 

Prevent duplicate invoice numbers on vendors.

07/30/10 Editing ePayment / Bank Information

The process for editing ePayment/Bank information has changed. 

07/15/10 Google / Outlook Sync

You can now share contacts and calendar events between Propertyware and two of the most commonly used applications.  Propertyware allows you to run a one or two way sync between Propertyware and Outlook and/or between Propertyware and Google. 

07/09/10 Propertyware Feature/Report Release

Propertyware is proud to announce the release of the following features and reports:

Bill Pay Filter - The Money Out > Bill Pay page view has been updated to include a default bank account filter.  This filter makes it easy to pay bills that are associated with the same default bank account.   Click here to review the updated Help! page topic.

Manage Published Reports - The Reports tab has been updated with a Manage Published Reports button.  This button gives access to all published reports and statements and allows you to easily unpublish any reports.  Click here to review the Help! page topic.

Cash Balance Summary - The Cash Balance report displays portfolio specific cash by the selected period and by the fiscal year to date.  To add:  New Report > Financial Statements > Cash Flow Summary.

Trial Balances - The Trial Balances report displays a running list of general ledger accounts with a total dollar value for debits and credits year to date.  To add:  New Report > Financial Statements > Trial Balance.

Owner’s Property Statement - The Owner’s Property Statement is a simplified portfolio summary that breaks down transaction details by building.  To add:  New Report > Owner Statements > Owner’s Property Statement.

06/24/10 Propertyware Feature/Enhancement Release

Propertyware is proud to announce the release of the following new features/enhancements:

Popertyware now allows you create reports using a fiscal year filter.  Simply, select your Fiscal Year First Month through Setup > Administration Setup > Accounting Preferences, and choose one of the fiscal year options from the "Falls Within" filter option on the report.  Click here to view the update Help! page topic.

Propertyware now requires that all Properties have leasing agents attached before that property can be published through the Marketing tab.  Leasing agents can be added through Properties > [Building] > Edit button > Management Team > Add Team Member button.

When creating a bill in Money Out, Propertyware now allows you create expense recoveries on terminated leases.  This allows you to easily add expense recoveries for common charges, like repairs, that occur during move out. Click here view the updated Help! page topic.

06/22/10 Propertyware Feature/Enhancement Release

Propertyware is proud to announce the release of four new features/enhancements:

Propertyware now offers the ability to close multiple bank deposits at one time with the batch close deposits feature.  Click here to review the updated Help! topic.

Propertyware now allows you to perform a rent bump on multiple leases at the same time. 

Propertyware now offers administrators the option to limit the calculation of late fees to the current month's charges. 

Propertyware has a new owner statement, the Owner Statement All Details report. 

06/18/10 Propertyware Enhancements

The following enhancements have been released in Propertyware:

Ability to edit the alert text for tenant and owner notifications. 

Ability to activate alerts on closed work-orders. 

Ability to track maintenance notices on buildings. 

 

06/11/10 Propertyware Training Library

Propertyware is proud to announce the release of our training library.  Clicking the Training link in the upper right hand corner of each page will display our full training library complete with training guides, videos and recorded webinars.  On a weekly basis, additional content will be loaded into our training library to help our users become Propertyware Pros!

06/09/10 Budgeting

Propertyware now allows you to track a projected budget across general ledger accounts.  This feature makes it possible to project your anticipated budget while accounting for projected increases over time.  You can also run reports on the data so you can compare actual to estimates.

06/05/10 Owner and Vendor Ledger Update

Two existing views have been updated and relocated as part of the current Propertyware release.

Vendor Ledger – The history that was previously available in the Bills tab in Money Out has moved to the Vendor Ledger page view in Money Out.

The following history/options will be available:

·         Vendor Name

·         Button to create New Bill

·         Total line that includes balance, vendor rating and open work orders.

·         Portfolio Filter

·         Period Filter

·         Paid/Unpaid Filter

·         Bill and Bill Payment History

Owner Ledger – The history that was previously available in the Ledger tab in Management has moved to the Owner Ledger page view in Management. The owner ledger page view is a historical ledger that displays transactions against a particular portfolio.  You can review history or initiate owner contributions, owner draws and journal entries.

The following details will be included:

·         Portfolio filter

·         Period filter

·         Total line that includes the balance, unpaid bills, management fees for the period, amount in escrow.

Buttons to initiate New Owner Contributions, New Owner Draws, and New Journal Entries.

A detailed ledger of each transaction against that portfolio.

06/01/10 Default Views and Gross Potential Rent Report

Two new features/enhancements are now available as part of the Propertyware 3.6 release. 

Default Views – You can now set the default view on the Marketing, Leases, Contacts and Maintenance tabs.  Here are the steps:

1.       Navigate to the tab.

2.       Select the view from the dropdown.

3.       Click the Set as Default link.

Now, each time you return to that tab, the page will display the default view.

Gross Potential Rent Report – The Gross Potential Rent report is now available to be created as a new report.  The Gross Potential Rent report allows you to compare the actual rent your are receiving versus the target rent for a particular unit/building.

05/21/10 Owner Statement Exclusion and Featured for Sale Listings 

Two new features/enhancements are available as part of the Propertyware 3.6 release. 

Owner Statements Exclusions – You can now add owners to a portfolio and exclude them from receiving owner statements.  This is a great feature when you want to track someone as an owner but do not want them to receive a statement.  Click here to review the updated Editing Portfolios Help! page topic.

Featured for Sale Listings – You can now create featured for sale listings in Propertyware and edit/share a featured for sale listing widget.  Click here to review the updated Sites Help! page topic.

05/19/10 Custom Field Grouping and New Mail Merge Fields

Two new features/enhancements are available as part of the Propertyware 3.6 release. 

Custom Field Grouping – You can now group custom fields.  For example, if you have a series of custom fields related to the same overall topic, you can create a group using that topic name and add all custom fields to that group for easy tracking.  Click here for more details.

Mail Merge Enhancements – An owner detail field has been added to the lease mail merge template.  The portfolio mail merge now includes:

·         Owner Tables – Includes all of the owners as well as the contact information for the first owner in the list.

·         Building Tables – Includes the building address.

·         Additional Fields Added - Building/unit county, table of building images, and table of unit images have also been added.

05/12/10 Tenant Ledger Filter

You can filter the results that are displayed in the tenant ledger by selecting the filter options available at the bottom of the tenant ledger.  This will help you locate particular types of transactions on the ledger.

05/07/10 Updating the Target Rent

You can now track the target rent on all buildings and units.  This feature allows you to see a history of target rent fluctuation and to run a report on the data.

04/28/10 Marketing Subscribers:  Custom Prospect Statuses

Categorizing prospect statuses just got a little easier.  Now, customers who subscribe to Marketing in Propertyware will be able to customize the list of prospect statuses available in the dropdown.  This will allow you to create custom status messages for your prospects.

04/09/2010 California Franchise Tax Board Feature

Propertyware is proud to announce the release of the California Franchise Tax Board feature release.  This feature makes it easy for California property managers to track, manage and report on the withholding requirements initiated by the Franchise Tax Board.

 

03/11/2010 ePayment Batch Feature

The ePayment batch feature simplifies the manner in which electronic payment transactions appear in the bank reconciliations section of Banking.  This  feature displays all settled electronic payment transactions as a sum total, with the option to expand the batch and review all individual items associated with it.  This will allow you to easily match ePayment transactions with bank statements. 

To view individual items:

1.       Click the Banking tab in Propertyware.

2.       Click Reconcile in the Page View.

3.       Locate the open reconciliation and select Edit from the "Action" dropdown.

4.       Locate the ePayment batch and click the + sign to expand the batch.

5.       All individual transactions will display with a checkbox available to clear the items.

6/14/2009 - Summer '09 Release

Propertyware is proud to announce the release of Summer '09 edition. This new version of Propertyware is available now to all subscribers and gives you more tools to grow your business. Here are some of the feature highlights:

Administrative & General Usability Features                     

Universal Search

Our powerful universal search feature allows you to quickly find any information in your account, saving your management team valuable time by putting important information at their fingertips. The new search engine is available in the upper portion of the sidebar. Simpy start typing and immediate results will appear in a dropdown menu with an advanced search option to view a more comprehensive search result.

The search result page also highlights those items that were matched and allows for users to perform a secondary search on custom fields.

Search Tags

This powerful new feature allows you to tag various items in Propertyware with your own criteria. This tag will be used when performing a quick or advanced search. Look for the new search tag feature in the upper right corner of various pages in the Propertyware application.

BCC on Outgoing Emails

Any user can edit their account (Setup | My Account) to copy themselves on all outbound emails. Once this option has been set, you will receive a copy of all outgoing email to the email address you use to log into your Propertyware account.

Return Email Address on Alerts

This enhancement allows users with administrative access to edit any Alert (available in Setup | Alerts) to designate the desired "Reply To" address on the email that the recipient receives.

Properties Module                                                                    

Portfolio Owner Required.

A new workflow rule has been added that enforces users to add an owner to any new portfolios created.

New Building Added Alert (Community Feature Request )

We've added a great new feature that allows you to notify any user(s) when a new building has been created in your account. The Building/Unit Created alert is available for administrators to configure from Setup | Alerts.

Portfolio Grid Edit

This powerful new feature allows users with administrative access to edit multiple portfolios from one screen. You can update certain fields on your portfolios and their management fee rules with just a couple clicks.

Property Photos Scaling (Community Feature Request )

This new feature changes the manner for which uploaded photos will appear in Propertyware. Photos are no longer stretched to fit in the photo frame. Newly uploaded photos will retain their dimensions when displayed in Propertyware and on your Portal. Existing photos will not be automatically adjusted, so you will need to upload the photo again to see the new format.

Property Assets

Track any type of assets (i.e. appliances, equipment, etc.) associated with the properties you manage with the new assets feature available on buildings and units. These assets can be associated with a vendor, include custom fields, document uploads and can be attached to a work order.

Marketing Module                                                                   

New Property Marketing Fields

We've added several new fields to buildings and units to help you better market available rentals. These include pets, smoking, lease term and a posting title. In addition, each rental has a geocode that allows us to map it on your Propertyware portal. The coordinates of your rental are displayed and available for you to modify/refresh. Click the Map Location option from the Related Activities menu of the property detail screen to see it in Google Maps.

One-Click Craigslist Postings

Posting to Craigslist (www.craigslist.org) has never been easier. Now you can create your posting on Craigslist with just one click! This great feature is located in Marketing | Listings from the Action menu.

A window will appear where you will be prompted to select the appropriate location for your posting and other required fields. This information will be stored on the listing for future postings.

From this window you can either preview your posting or proceed to submit it to Craigslist. Be sure to have your pop-up blocker turned off.

Listing Brochures (Community Feature Request )

We've updated our listings brochure for each individual listing and all your available properties. Print your prospects a brochure from the Action menu in Marketing | Listings.

Trulia Feed

For Sale listings are now sent to Trulia (www.trulia.com) on a nightly basis for more exposure.

Portals Module                                                                          

New Listings Module

This powerful new feature allows prospective renters and buyers to search your available listings in a variety of different manners, including browsing on a map that pulls real-time data from your Propertyware account.

In addition, the listing detail page includes many exciting new features including:

·         Share the listing on social networking sites such as Facebook, MySpace, Twitter and Digg

·         Street views of the neighborhood

·         Driving directions

·         Printable brochure

Ordering Portal Navigation

This new feature allows you to order the pages that appear on your Propertyware Portal's navigation. To reorder how the pages appear in the menu or exclude a page from the navigation, click Portals | Content | Global Elements | Navigation.

Leases Module                                                                          

ePayments on Tenant Ledger

It is now easier to differentiate between one-time ePayments received from the tenant portal vs. a monthly recurring auto ePayment setup on the lease. Each payment will be accompanied with a comment that will help users to determine the source of the ePayment.

Greater of Flat Fee or % Late Fee Rule (Community Feature Request )

We now support late fees that take into consideration a greater than scenario of a flat fee or a percentage (based on the total past due for all charge accounts eligible for a late fee).

Security Deposit Interest Calculator Enhancements

The security deposit interest calculator has been enhanced to support calculations based on months and simple interest. vs. compounded.

Money In Module                                                                      

Automatic Late Fee Calculations (Community Feature Request )

We've enhanced the late fee calculator to allow for automatic calculations. Users with administrator rights can configure their account for automatic calculations from Setup | Accounting Preferences | Auto Calculate Late Fees Nightly.

Commenting on Late Fees (Community Feature Request )

You can now add comments to late fees when using the late fee calculator. These comments will be shared on tenant statements generated from Propertyware's mail merge feature and the tenant portal.

Quick Collect Prepayments

This new feature allows users to overpay the amount due for any lease that appears in Money In | Quick Collect, resulting in a prepayment on the tenant ledger.

Money Out Module                                                                     

Canadian Expense Account Taxes

We have added the ability to mark an expense account taxable to fully "Canadianize" the Propertyware application. In Canada, managers charge a 5% tax (GST) when they calculate a management fee. That tax is charged to the owner as an expense the same way that management fees are charged. The tax, once calculated, becomes part of the management fee bill. To support this methodology, we allow users to flag any expense account as taxable and choose up to three different tax types.  If the management fee expense account were to be flagged as taxable, when the management fees bill were calculated it would take the amount of the bill for each portfolio and apply the tax rate(s) set on that account. The result would be a bill splits added to the management fee bill charged to teh owner with the appropriate taxes built in.

Print Name on Check for Contacts

This new field is available on the contact and allows users to designate how the person's name should appear whenever cutting them a check from Propertyware.

Banking Module                                                                         

Clear Management Funds

This feature allows fee management companies to view their income (i.e. paid to the management company vendor) that needs to be cleared from the operating/trust account to their management company account. Funds can be cleared to the management company bank account via a journal entry (plus a manual electronic transfer with your bank) or a written check.

Publish the Same Document to Two Portals (Community Feature Request )

You can now share one document with both tenants and owners. The document properties option on the Notes and Documents section found around various areas of the Propertyware application now gives you the option to publish your document in both portals.

Mass Email Vendors.

This new feature is located in the Related Activities menu of the Money Out | Vendors section of the Propertyware application and allows you to mass email a selected group of vendors. Make sure you have an email address set on the vendor beforehand.

Enhanced Move Out Calculator (Community Feature Request )

The move out process is no longer a pop up window, but rather its own screen with some exciting new features. The new move out screen allows  users to create one-time charges, prorate charges for the current month and automatically journal entry money from the security deposit bank account to the operating account when money held in the deposit gets applied to past due charges. 

Date Picker Enhancements on Reports Custom Filters

This great new feature allows you to setup custom date filters on reports that are dynamic (ie. This Month, This Year). This feature allows you to create reports with date ranges that are constantly adjusting to look at the desired timeframe. Setup your dynamic custom date feild filter from the Filters tab on any report.

Permission for Management Fee Rule on Portfolio

This new feature is available from the administrators settings in Administration Setup | Manage Users | User Profiles. A new option allows you to limit a users access to modify the management fee rule on the edit portfolio screen.

Portfolio Restrictions on Dashboards

Portfolio and building restrictions set on a user account are now taken into consideration when they view the dashlets available from the Dashboards module. Setup your dashboards with the reports you would like to see and they data will be automatically filtered to only display those portfolios and buildings for which that user can access.

Applied Payment Order

This new feature is available from the administrators settings in Setup | Accounting Settings. The applied payment order will allow administrators to designate how they would like incoming payments applied to unpaid charges. For example, you might prefer to always apply a payment first to any outstanding late fee charges and then rent. This feature is especially helpful when using Money In | Quick Collect or our new check scanning solution. If no applied payment order has been set, Propertyware will default all payments first to the oldest rent charge.

To set the applied payment order:

You must have administrative permissions on your Propertyware account

1.       Click the Setup button from the upper right corner of any page

2.       Click the Accounting Settings option from the sidebar

3.       Click the Edit button and locate the field named Apply Payment Order

4.       Click the Add button to select the first income account for which you would like new payments applied towards

5.       Continue this process until you have created your desired rule and click the Save button

Owner Statement Options (Community Feature Request )

We've introduced a few more options for your owners statements. These options are available on any of the owners statement styles, accessible from Reports | Owners Statement and then click the Column tab at the top of the report.

The new options include the ability to display the portfolio name on the statement and hide the vendors name from the list of bills.

Reprinting Checks

This new feature is available from Money Out | Print Checks when you filter the Status dropdown by Printed. Select the appropriate check(s) by selecting the check box at the front of the row and then click the Print Checks button. The resulting window will give you the option of printed a check with a new check number or the existing one.

Voiding Checks

This feature allows you to void a check that might have been created incorrectly. To void a check follow these steps:

1.       Locate the appropriate check by using the search feature in the sidebar and entering the check number or click Money Out | Vendors to locate the correct vendor and the corresponding bill payment.

2.       Checks can only be voided from the detail screen of a bill payment.

3.       From the detail screen of a bill payment, click the Void Transaction button.

Mass Email Owners (Community Feature Request )

This great new feature allow you to send a mass email to selected owner contacts, while a related activity will be logged on the corresponding owner contact. This feature is available from the Management module in the Related Activities menu in the left sidebar.

Supporting Multiple Tax Accounts (Community Feature Request )

We have added a feature to support our dear friends up north in Canada, allowing you to now set up to three different tax account for an income account. In the past, we only supported one tax account on income accounts. This new feature allows you to have Propertyware automatically calculate up to three different tax charges when a designated charge type gets added to the tenant ledger.

To enable the automatic tax calculation, follow these steps:

1.       Click Setup from the upper right corner of any page in the application and then Chart of Accounts from the Customize menu.

2.       Create a new income account by clicking the New Account button or edit an existing one by clicking the Edit button from the Action column.

3.       Select the Yes option from the Taxable dropdown menu. This will reveal up to three tax accounts that can be associated with this income account. Select the appropriate tax account from the dropdown menu and set the correct percentage.

4.       Click the Save button.

To create a new tax account:

1.       Click Setup from the upper right corner of any page in the application and then Chart of Accounts from the Customize menu.

2.       Create a new tax account by clicking the New Account button.

3.       Select the appropriate account type and click the Tax Account checkbox.

4.       Complete the remaining required fields and click the Save button

Enhanced Rent Roll Report: Subtotals by Building

This report has been updated with subtotals for each Building and the total for each selected Portfolio.

Work Order Report with Contacts

This new maintenance report type merges work order and tenant contact fields. It's a great report for getting better visibility into which tenants are submitting the most work orders or making tenant contact information accessible when you are viewing open work orders.

Income Statement Standard by Month (Community Feature Request)

This report displays the income statement broken down by individual months. Try using the date filters on the report options to view this information by This Year or a Custom Date Range.

Check Printing Filter

Now you can filter the checks in Money Out | Print Checks to only display and print owner draws. In addition, if you click on the column header to filter by "Paid To," the printed checks will be sorted in this manner as well.

New Owners Statement (Community Feature Request). We've introduced the new "Owner Statement Summary and Detail" based on several customers great feedback. A special thanks to Steve Goldsmith from Philadelphia Propertyworks for some great layout ideas on this one!

Property Manager Commissions.

A great new feature for property management companies that share a percentage of their management fees with their property managers. You can now track the amount of commissions owed to your individual property manager. Add the property managers commission percentage to the management fee rules set on each individual portfolio. Use the new "Managers Commission Report" located in the Finance folder of Propertyware's reports module to calculate the commissions owed to your property managers.

Listings Tear Sheet (Community Feature Request)

Your Propertyware Portal now includes a link where prospective tenants can print a tear sheet of all your available listings, complete with photos and descriptions.

Listing Brochure. We've updated the "look and feel" of the PDF version of the brochure located on the detail page of your Propertyware Portal.

Community Feature Requests

These features that are a result of listening to our customers everyday. While we wish we could build every new features customers recommend, each new edition only has room for a handful of enhancements.
