Viewing the Tenant Ledger

The Tenant Ledger on a lease allows you to view a history of all charges, payments, refunds, and adjustments on your tenant's account, as well as the current balance and any future Auto Charges that are set to post, based on any Active Auto Charges you have set up on that tenant's actual Lease or on the Lease Form used to create their Lease.

To view the Tenant Ledger for a lease:

  1. Locate the lease using Search or the Lease Navigator.
  2. Click the Tenant Ledger button.

Here is a basic description of the items found on the tenant ledger:

  1. Lease Balance Summary --This box displays your tenant's current balance.
  • Balance: This is the balance owed as of the current date.
  • Total Unpaid: This is the sum of all unpaid charges to date. This value may be different than the balance if there are future unpaid charges that remain on the tenant ledger.
  • Prepayments: The sum of all money received that has not been applied towards unpaid charges. You can apply prepayments towards unpaid charges by clicking the Apply button.
  • Security Deposit Held: The sum of all security and pet deposits collected.
  1. Tenant Activity Buttons -- These buttons allow you to perform key functions on the tenant ledger page:

Button Name

Description

Record Payment Received

Allows you to record the payments received from the tenant.

One Time Charge

Allows you to create a one time charge on the tenant ledger.

Refund, Discount, Adjustment

Allows you to create either a refund, discount, or adjustment on the tenant ledger.

Move In Tenant

Initiates the move in calculation. You must perform this action to activate the lease and begin to record tenant charges and payments.

Move Out Tenant

Initiates the move out calculation. You must perform this action to terminate a lease and allocate the security deposit.

  1. Payments and Charges--All payments, charges, and transactions associated with this tenant will appear in the Tenant Ledger table. Each transaction contains the following information:

Field

Description

Status

Describes the type of transaction, such as Paid Charge, Undeposited Payment, or Discount Against Charges. Click the description to open a window that gives transaction details.

Tip

The green sync icon shown here denotes transactions that have been synced over to QuickBooks using Propertyware Sync for QuickBooks. Mouse over this icon to display the date and time that the transaction was synced.

Date

The date of the tenant transaction.

Ref #

The reference number entered for the transaction.

Description

A descriptive note entered for the transaction.

Amount

Amount of the transaction. Credits to the tenant ledger, such as payments or discounts are listed in parentheses; for example, a credit of $1000 will show as ($1,000.00).

Balance

Shows a running balance for the tenant. If the tenant has prepaid, the amount will appear in parentheses ($275).

Action

Depending on the type of transaction, choose any of the following actions:

  • View - click to see transaction details
  • Edit - click to modify transaction details
  • Del - click to delete the transaction
  • Receipt - click to create a receipt for transaction
  • NSF - click to change a payment received to a non-sufficient funds payment
  • NSF Notice - click to create tenant correspondence to notify of non-sufficient funds
  • (comment) - mouse over this bubble to see transaction comments, if any
